Job summary

Qualifications

  • Experience with event management software and CRM platforms (Cvent, Salesforce) is preferred.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Experience coordinating events, conferences, hospitality programs, or related activities preferred.
  • Ability to lift up to 50 pounds; stand and walk for extended periods.
  • Evenings, nights, and weekends availability to support operations.

Responsibilities

  • Assist in planning and management of global signature events from concept through execution.
  • Coordinate event logistics including venue prep, registration support, transportation, catering, A/V services, and production requirements.
  • Serve as liaison between university departments, vendors, performers, sponsors, and external partners.
  • Develop and maintain event timelines, production schedules, project plans, and operational documents.
  • Manage event materials, signage, supplies, and equipment for successful delivery.
  • Assist with vendor communications, contract administration, purchasing processes, and invoice tracking.
  • Provide hands-on event support, including setup, execution, troubleshooting, and post-event breakdown.
  • Maintain accurate event documentation, reports, databases, and project records.
  • Support event evaluation efforts and opportunities for continuous improvement.

About the Opportunity Position Summary

The Events Coordinator supports the planning, coordination, and execution of the university’s global signature events and other high-profile institutional programs, including Commencement, Convocation, the Global Leadership Summit, and related special events. This role works closely with internal stakeholders, external vendors, and event partners to ensure seamless event delivery and exceptional participant experiences. The position supports all phases of event planning and execution, from concept development through on‑site management and post‑event evaluation. The Events Coordinator reports to the Director, Event Operations and Experiential Design Producer and is a member of the Interactive Experience team under the leadership of the Executive Creative Director, Interactive Experience.

Key Responsibilities
  • Assist in the planning and management of global signature events and institutional programs from concept through execution.
  • Coordinate event logistics, including venue preparation, registration support, transportation, catering, audiovisual services, and production requirements.
  • Serve as a liaison between university departments, vendors, performers, sponsors, and external partners.
  • Develop and maintain event timelines, production schedules, project plans, and operational documents.
  • Manage event materials, signage, supplies, and equipment necessary for successful event delivery.
  • Assist with vendor communications, contract administration, purchasing processes, and invoice tracking.
  • Provide hands‑on event support, including setup, execution, troubleshooting, and post‑event breakdown.
  • Maintain accurate event documentation, reports, databases, and project records.
  • Support event evaluation efforts and recommend opportunities for continuous improvement.
Qualifications & Requirements
  • Strong organizational and project management skills with exceptional attention to detail.
  • Excellent written, verbal, and interpersonal communication skills.
  • Demonstrated proficiency in Microsoft Excel is required. The successful candidate must be able to independently create and manage complex spreadsheets, track event budgets and expenses, maintain registration and attendance data, develop production schedules, and generate reports using formulas, filters, and pivot tables.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, Teams, and SharePoint.
  • Experience with event management software and customer relationship management (CRM) platforms, including Cvent, Salesforce, or comparable systems, is preferred. Demonstrated ability to quickly learn and effectively utilize new technology platforms is highly desirable.
  • Ability to manage multiple priorities in a fast‑paced environment while maintaining a collaborative and solutions‑oriented approach.
  • Experience coordinating events, conferences, hospitality programs, or related activities preferred.
  • Ability to lift up to 50 pounds.
  • Ability to stand and walk for extended periods during event setup and execution.
  • Availability to work evenings, nights, and weekends as needed to support event operations.
  • Other duties as assigned.
