Job summary

The Westin Nashville is seeking an organized Event Specialist to support our Events and Sales teams by coordinating group programs, rooms-only groups, internal meetings, and departmental operations. You will be the main point of contact for assigned groups and ensure seamless communication and documentation.

You will partner with hotel teams to manage details, schedules, F&B needs, and documentation, while providing outstanding guest service and attention to detail in a fast-paced environment.

Responsibilities

  • Serve as the primary point of contact for assigned rooms-only groups, providing timely, professional communication and support from turnover through arrival.
  • Coordinate group details, reservations, rooming lists, billing information, deadlines, and event documentation to ensure a seamless guest experience.
  • Support internal meetings and events by coordinating meeting space, setup requirements, food and beverage needs, and communication with hotel teams.
  • Assist Conference Services Managers with event servicing and administrative needs, including preparing event resumes, agendas, reports, and client communications.
  • Maintain accurate group and event information within hotel systems and ensure files and documentation are organized and up to date.
  • Partner with Sales, Catering, Group Housing, Front Office, Banquets, Culinary, Accounting, and other hotel teams to communicate group needs and ensure successful execution.
  • Build positive relationships with clients, guests, vendors, and associates through thoughtful, responsive, and service-focused communication.
  • Provide additional support to the Sales and Events team based on business needs and priorities.

You’ll partner closely with Conference Services Managers and hotel teams to manage event documentation, systems, communications, and day-to-day details while balancing multiple priorities in a dynamic environment. OTHER:

Regular attendance in conformance with the standards, which may be established from time to time, is essential to the successful performance of this position. Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. In addition, attendance at all scheduled mandatory training sessions and meetings is required.
