Position Summary

We are seeking a highly organized and enthusiastic Wedding & Event Specialist to join our team. This full-time, in-person position requires a detail-oriented individual with a passion for creating seamless and memorable events. As an Event Specialist, you will guide clients through the event planning process and ensure every detail is executed flawlessly.

Key Responsibilities

Office Management:

• Receive and process client payments
• Retrieve, sort, and distribute incoming mail
• Maintain an organized, clean office environment
• Answer and direct incoming calls and emails
• Manage the company’s general email inbox
• Respond to client inquiries and guide them through the event planning process
• Schedule and lead client meetings tailored to event needs
• Build and maintain relationships with Kansas City vendors and venues
• Represent Icon Event Group at local networking events

Event Planning & Coordination:

• Prepare and send contracts, ensuring timely follow-ups
• Keep all event systems and client files updated and accurate
• Provide post-event review links and maintain high client satisfaction
• Provide on-site event support for setup and takedown when needed

DJ & Team Management:

• Monitor and respond to DJ feedback forms
• Coordinate with DJ Equipment Manager to ensure gear needs are met
• Collaborate with internal teams for seamless event execution

Qualifications

• 2+ years of event planning experience (wedding or corporate event experience preferred)
• Excellent communication, organization, and multitasking skills
• Strong interpersonal skills and ability to build rapport with clients and vendors
• Proficient in Google Workspace (Docs, Sheets, Calendar)
• Flexibility for occasional evening and weekend event support
• Must be a proactive problem-solver and team player
