What You’ll Do:

The Event Production Manager will act as the primary point of contact for the client during the planning process while liaising with our on-site event, technology, and control room teams to ensure a seamless meeting event experience from start to finish. They will ensure that the client’s vision for their event is executed and that the client is fully supported from kick-off to post-event. The Event Production Manager acts as a project manager and ensures the completion of on-site responsibilities by the Event Operations Team. They support our hybrid, virtual, and physical meetings products and embody Convene’s values and hospitality standards at all times.

As the Event Production Manager, you will:

  1. Plan and oversee all aspects of meetings programs across our physical, hybrid, and virtual products.
  2. Communicate effectively, both verbally and in writing, with associates, clients, and all departments in an attentive, friendly, courteous, and service-oriented manner.
  3. Listen to, understand, and clarify concerns raised by associates and clients.
  4. Serve as a pre-sales support for our Sales team, advising on deadlines and requirements to ensure successful events. Collaborate with the Sales Department to prepare room diagrams, photos, and facility insights; assist relationship managers during the contract phase.
  5. Schedule and host kick-off calls with clients.
  6. Develop event timelines and communicate & enforce all pre-production deadlines.
  7. Act as the primary client contact leading up to the event day, understanding their needs related to culinary, service, AV, and other aspects.
  8. Prepare and distribute room diagrams.
  9. Work with culinary and service teams to finalize menus and timing.
  10. Coordinate with AV teams to ensure AV needs are understood, communicated, and executed properly.
  11. Recommend and coordinate with third-party vendors for event enhancements, such as florists, musicians, branding, linens, etc.
  12. Host client Run of Show reviews with AV Production teams for hybrid events.
  13. Create and maintain detailed event documentation for each booking.
  14. Track project timelines and status updates in ClickUp.
  15. Prepare Program Execution Orders (PEOs), program diagrams, and invoices for post-contract add-ons.
  16. Support the Event Site Production team by collecting livestream platform details, agendas, speaker and sponsor info, and collateral.
  17. Conduct pre- and post-event debriefs with internal stakeholders.
  18. Follow up with clients on post-event deliverables.
  19. Hold weekly PEO meetings with on-site operations teams.
  20. Provide status updates on pre-production milestones to internal and external stakeholders.
  21. Ensure proper calculation of program checks, client approval, signatures, and collection of balances.
What We Look For:
  • At least 3 years in a customer-facing role.
  • Experience in event planning and project management.
  • Proficiency with web-based collaboration tools like Slack, Salesforce, SmartSheets, Google Suite.
  • Familiarity with SaaS, event platforms, video/web conferencing is a plus.
  • Strong business acumen and ability to stay calm under pressure.
  • Problem-solving skills and customer-focused attitude.
  • Ability to multitask and prioritize customer satisfaction.
Compensation:

The salary range for this position is $65,000 to $70,000, designed to reflect the level of work and responsibilities. The role is eligible for Convene’s annual incentive bonus. Salary offers are based on skills, experience, and location.
