Position Summary
As the
Event Production Coordinator at
The Salt Shed, you oversee production elements across the entire Salt Shed site, supporting private events, community programming, the Three Top Lounge, and Elston Electric. You’ll lead events in both our indoor and outdoor venue spaces and occasionally assist with the Salt Shed concert series. This role requires strong communication and organizational skills, as well as experience working with private event clients.
Additional responsibilities include but are not limited to:
- Attend regular meetings with the Private Events team to manage all production-related details throughout the year. Also collaborate with the Alternative Programming Manager on production needs for community events.
- Serve as the primary production contact for the Three Top Lounge and Elston Electric, assisting with setup, operation, and teardown of all technical equipment.
- Determine event staffing needs and schedule union crew, auxiliary production staff, and hospitality staff accordingly. Track and report labor costs accurately.
- Coordinate rental needs with vendors by gathering quotes, securing equipment, and tracking related expenses. Share production-related financials with relevant teams pre- and post-event.
- Maintain clear, organized production records and share essential event information with both internal teams and external clients.
- Collaborate with the Production Manager and Concert Production Coordinator on event logistics, particularly for back-to-back events or tight concert turnarounds, to ensure seamless site transitions.
- Act as the lead production contact on assigned event days, managing all production needs from load-in to load-out. Communicate clearly with clients, FOH teams, and production crew to ensure smooth execution.
- Lead and coordinate with production and hospitality staff onsite, including Stage Managers, Hospitality Managers or Green Room Attendants, Union Crew, Runners, and the Artist Experience Coordinator.
- Promote and maintain a safe, healthy, and respectful work environment that aligns with Salt Shed and industry standards.
- Liaise with the hospitality team to ensure all client-facing needs are fulfilled within the parameters of the contracted event budget, from advance through show day and final settlement.
- Use 7Shifts and 7Punches to schedule, approve, and track staff hours; maintain accurate documentation for payroll and compliance purposes.
- Log and report any issues that arise during events (e.g., facilities, rentals) and coordinate resolutions with the appropriate teams.
- As needed, support or lead concert and venue-wide events, including show advances or serving as Production MOD, as assigned by the Production Manager.
- Recognize that the responsibilities and nature of this role are dynamic and may evolve based on the needs of the venue and events.
About You:
- Strong communication and organizational skills are essential to success in this role.
- Minimum of 3 years of experience in event production or a similar role, ideally in a live events or venue setting.
- Working knowledge of audio, lighting, and video equipment, with the ability to set up and operate gear for basic event needs.
- Experience managing live events and a solid understanding of the overall event lifecycle and guest experience.
- Comfortable interacting with high-touch clients and vendors; able to provide a polished, solutions-focused presence onsite.
- Proficiency in Microsoft Office, Google Workspace, and scheduling/timekeeping systems such as 7Shifts and 7Punches.
- Familiarity with industry terminology, equipment, and software used in production environments.
- Ability to work a flexible schedule, including evenings, weekends, and longer shifts during peak event periods.
- Physically able to stand and walk for extended periods, frequently reach, stoop, bend, and carry equipment up to 40 lbs.
- Must be able to perform tasks requiring fine motor skills, such as setting up equipment and entering data.
- Comfortable working both indoors and outdoors in varying temperatures, and in environments with high noise levels typical of live music events.
