The Fortunate in Madison, WI is seeking an experienced Event Producer to translate approved event plans into executable productions. You will own schedules, load-in, venue restrictions, vendors, equipment, staffing, transportation, and on-site communications to ensure a flawless event.
With 3–5+ years in event production, you will develop run-of-show documents, coordinate AV and rentals, manage safety and insurance requirements, and drive post-event reconciliation.
The Event Producer turns an approved event plan into something that can actually happen.
You will own the production of assigned commissions: schedules, access, load-in, vendors, equipment, staffing, transportation, venue restrictions, installation, transitions, strike, and the operational details connecting all of them.
A schedule tells us when something should happen. A production plan explains how. We need someone capable of owning the second.
Arjun establishes the operational architecture and standards. Dave protects the overall direction and client priorities. Claire protects the visual intent. The planning team establishes the approved client plan.
You make sure all of it can coexist at 4:17 PM on a Saturday when six vendors are installing, catering needs the same hallway as entertainment, photography needs a finished room, and guests arrive in forty-three minutes.
We expect approximately 3―5+ years of substantive event-production experience, although demonstrated capability matters more than a particular anniversary.
Relevant experience may come from event production, experiential agencies, venues, luxury hospitality, live entertainment, corporate events, weddings, technical production, high-end catering, or rentals.
You remain calm because you understand the plan, not because you assume everything will work itself out.
You think in dependencies. You notice handoffs. You ask who owns something. You understand that excellent vendors can still produce a bad event if nobody owns the space between their responsibilities.
We are not looking for someone who enjoys emergencies. We are looking for someone who quietly prevents them. You can solve one without making the client experience the problem with you.
In addition: $250 additional compensation per qualifying event day; business mileage reimbursed at the current IRS business mileage rate; $65/day meal and incidental allowance for qualifying travel events; company-provided laptop and phone.
Final compensation within the range will reflect production experience, technical fluency, and demonstrated ability to independently own complex event execution.
Expect event weekends, early load-ins, late strikes, regional travel, and occasional multi-day commissions. This is not a Monday-through-Friday production job disguised in an events posting.
We compensate qualifying event days separately and build recovery time into the schedule because sustained excellent work requires both preparation and recovery.
This position is deliberately designed to grow toward lead-producer responsibility.
A successful Event Producer should increasingly own larger and more complex commissions with less direct operational supervision from Arjun. The ceiling is not 'person who executes Arjun's checklist.' The goal is another person the House can trust with an entire production.
