Lexar is seeking an experienced Event Planner to support consumer-facing events, activations, trade shows, and sponsorship programs. The role is initially a six-month contract with potential to go full-time based on performance.

Qualifications

About the Role

We are seeking a highly organized and hands‑on Event Planner to support the planning and execution of consumer‑facing events, activations, trade shows, brand experiences, and sponsorship programs. This role is ideal for someone who thrives in a fast‑paced environment, has strong attention to detail, and enjoys turning event plans into well‑executed experiences. This role is initially structured as a six‑month contract, with the flexibility to transition to a full‑time position based on performance and business needs.

The Event Planner will work closely with internal teams, agencies, vendors, and event partners to coordinate event logistics from planning through onsite execution. The role will support multiple events simultaneously and ensure timelines, deliverables, budgets, and onsite details stay on track.

Key Responsibilities
Event Planning & Execution
  • Support the end‑to‑end planning and execution of consumer events, brand activations, trade shows, sponsorships, and experiential marketing programs.
  • Develop and maintain event timelines, production schedules, task lists, and event run‑of‑show documents.
  • Assist with venue research, site visits, vendor selection, and contract coordination.
  • Coordinate event setup, onsite operations, breakdown, and post‑event activities.
  • Serve as an onsite point of contact to help ensure a seamless attendee and brand experience.
Cross‑Functional Coordination
  • Partner with Brand, Product Marketing, Social, PR, Sales, Creative, and other internal teams to align event requirements and deliverables.
  • Coordinate with external agencies, vendors, production companies, venues, and event organizers.
  • Track dependencies and follow up with stakeholders to ensure deliverables are completed on time.
  • Help ensure all event elements are consistent with brand standards and campaign objectives.
  • Support event budgets, purchase orders, invoices, and expense tracking.
  • Obtain and compare vendor quotes and assist with vendor negotiations.
  • Maintain accurate event documentation and budgets throughout the planning process.
  • Monitor event expenses and elevate potential budget issues proactively.
Attendee Experience & Event Materials
  • Support registration, guest lists, customer/VIP management, and onsite check‑in.
  • Coordinate event giveaways, promotional items, signage, collateral, and other event materials.
  • Support the planning and execution of customer meetings, hospitality programs, receptions, and networking experiences.
  • Help develop creative event experiences that engage consumers and reinforce the brand.
Measurement & Reporting
  • Support post‑event reporting, including attendance, engagement, leads, media/social exposure, and other event KPIs.
  • Gather feedback and identify opportunities to improve future events.
  • Maintain event recaps, photo libraries, vendor information, and other post‑event documentation.
Qualifications
  • 3–5 years of experience in event planning, event marketing, experiential marketing, trade shows, or a related field, along with a Bachelor’s degree in Marketing, Communications, Public Relations, Hospitality Management, or a related field preferred; equivalent professional experience may be considered in lieu of a degree.
  • Experience supporting and coordinating consumer‑facing events and brand experiences.
  • Strong project management and organizational skills with the ability to manage multiple priorities and deadlines.
  • Highly detail‑oriented with strong follow‑through and problem‑solving abilities.
  • Excellent communication and interpersonal skills.
  • Comfortable working with agencies, vendors, venues, and cross‑functional teams.
  • Ability to work independently while also being an effective team player.
  • Proficiency with Microsoft Office/Google Workspace; familiarity with project management or event management platforms is a plus.
  • Willingness to travel and work occasional evenings, weekends, and extended onsite hours as required by events. Physical ability to lift and carry event materials and equipment weighing up to 25 lbs.
