Job summary

Best Version Media seeks an energetic Event Planner to design and execute virtual and in-person sales events, leadership conferences, and corporate gatherings across the United States and Canada. You will partner with Sales Leaders, Home Office executives, and vendors to create engaging experiences that energize our team.

Responsibilities include end-to-end planning, contract negotiation, budgeting, on-site and virtual execution, and clear stakeholder communication.

Qualifications

  • Proven track record in event planning for virtual and face-to-face formats.
  • Experience budgeting, expense tracking, and financial reconciliation.
  • Strong written and verbal communication with executives and hotel staff.
  • Excellent organization and ability to manage competing priorities.
  • Willingness to travel up to 6 times per year across US and Canada.

Responsibilities

  • End-to-End Event Planning: Manage logistics, agendas, and production details for virtual gatherings, regional sales meetings, and national leadership conferences.
  • Sourcing & Contract Negotiation: Research, source, and negotiate contracts for meeting venues, hotel room blocks, and third-party vendor services to ensure exceptional quality and cost efficiency.
  • Budget Management: Partner with Finance and department leads to build, track, manage, and reconcile event budgets with precision.
  • On-Site & Virtual Execution: Deliver active technical and logistical coordination for virtual events and provide hands-on, on-site event management across the country and at the Home Office.
  • Stakeholder Communication: Serve as the primary point of contact for clear event logistics, itineraries, and instructions delivered to attendees, presenters, venue staff, and external partners.
  • Cross-Functional Collaboration: Build strong collaborative relationships with executives, publishers, and internal teams while supporting strategic initiatives alongside the Training & Development Director.

Job Summary:

Are you a dynamic, detail-oriented professional passionate about creating seamless, high-impact events? We are seeking a proactive Event Planner to plan, coordinate, and execute our virtual and in-person sales events, leadership conferences, and corporate gatherings across the United States and Canada.

  • Outstanding organizational capabilities with keen attention to detail and the ability to manage competing priorities.
  • Ability to travel up to 6 times per year across the US and Canada, with flexibility for occasional evening and weekend hours during live event cycles.
