Best Version Media is seeking an Event Planner to design and execute virtual and in-person sales events, leadership conferences, and corporate gatherings across the United States and Canada.

You will partner with Sales Leaders, Home Office executives, and vendors to create engaging experiences that energize teams and drive business success. The role requires strong organizational skills, clear communication, and a proactive, detail-oriented approach.

Qualifications

  • Proven track record in event planning and coordination for virtual and in-person formats.
  • Experience assisting with budget formulation, expense tracking, and reconciliation.

Responsibilities

  • End-to-End Event Planning: Manage logistics, agendas, and production details for virtual gatherings, regional sales meetings, and national leadership conferences.
  • Sourcing & Contract Negotiation: Research, source, and negotiate contracts for meeting venues, hotel blocks, and third-party vendor services.
  • Budget Management: Build, track, manage, and reconcile event budgets with Finance and department leads.
  • On-Site & Virtual Execution: Provide hands-on, on-site event management and technical coordination across the country and at the Home Office.
  • Stakeholder Communication: Serve as primary contact for clear event logistics, itineraries, and instructions to attendees and venue staff.
  • Cross-Functional Collaboration: Work with executives, publishers, and internal teams.

Job Summary:

Are you a dynamic, detail-oriented professional passionate about creating seamless, high-impact events? We are seeking a proactive Event Planner to plan, coordinate, and execute our virtual and in-person sales events, leadership conferences, and corporate gatherings across the United States and Canada.

In this role, you will partner closely with Sales Leaders, Home Office executives, and external vendors to curate engaging experiences that energize our team and drive business success. If you excel at turning logistical details into memorable experiences, we would love to meet you!

Responsibilities
  • End-to-End Event Planning: Manage logistics, agendas, and production details for virtual gatherings, regional sales meetings, and national leadership conferences.
  • Sourcing & Contract Negotiation: Research, source, and negotiate contracts for meeting venues, hotel room blocks, and third-party vendor services to ensure exceptional quality and cost efficiency.
  • Budget Management: Partner with Finance and department leads to build, track, manage, and reconcile event budgets with precision.
  • On-Site & Virtual Execution: Deliver active technical and logistical coordination for virtual events and provide hands-on, on-site event management across the country and at the Home Office.
  • Stakeholder Communication: Serve as the primary point of contact for clear event logistics, itineraries, and instructions delivered to attendees, presenters, venue staff, and external partners.
  • Cross-Functional Collaboration: Build strong collaborative relationships with executives, publishers, and internal teams while supporting strategic initiatives alongside the Training & Development Director.
Requirements
  • Demonstrated track record in event planning, logistics coordination, or hospitality management for both virtual and face-to-face formats.
  • Experience assisting with budget formulation, expense tracking, and financial reconciliation.
  • Exceptional written and verbal communication skills, with the polish to engage seamlessly with executives, hotel staff, and event attendees.
  • Outstanding organizational capabilities with keen attention to detail and the ability to manage competing priorities.
  • Ability to travel up to 6 times per year across the US and Canada, with flexibility for occasional evening and weekend hours during live event cycles.
