Job summary

The Indiana Convention Center & Lucas Oil Stadium (ICCLOS) in Indianapolis is seeking an Event Coordinator to oversee facility events from planning to completion.

Responsibilities include coordinating logistics, liaising with clients and vendors, preparing schedules and checklists, supporting on-site operations, and ensuring safety and compliance. A BA degree and 3–5 years in large-scale events are required.

Qualifications

• Bachelor degree or equivalent; three to five years experience in organizing and executing large-scale events in convention center or tradeshow environments.

Responsibilities

• Assist in coordinating event logistics (parking, ticketing, security, setup, first aid, decoration) to align with client requirements and standards.
• Liaise between clients, internal departments, and vendors to ensure timely service delivery.
• Prepare and distribute event documents (schedules, checklists, logistics) to stakeholders.
• Support creation of event setup diagrams using AutoCAD and ensure layouts meet client specs.
• Monitor event day operations and provide on-site problem-solving support.
• Coordinate with vendors to ensure timely delivery of services and handle issues.
