Job summary

The Christian and Missionary Alliance seeks an Event Coordinator in Reynoldsburg, Ohio. This full-time role reports to the Director for Events and coordinates events with a focus on the biennial Council, supporting the alliance's overall mission.

Duties include venue evaluation, contract management, registrations, and on-site event support, ensuring smooth pre-, during, and post-event operations.

  • Attend and support pre-, onsite, and post-event logistics for biennial General Council.

Job description

The Christian and Missionary Alliance (C&MA) is seeking an Event Coordinator. This is a full-time position located in Reynoldsburg, Ohio. This position works under the direction of the Director for Events and is responsible for coordinating events with a focus on biennial Council. In the performance of these duties, this position will support the overall mission of the C&MA.

Specific Duties
  • In collaboration with Director for Events, establishes relationships with Area of Ministry event sponsors, fostering clear understanding of event objectives and desired outcomes to ensure highest level of support
  • Perform preliminary site visits and evaluations of event venues; ensures property is adequate for needs and requirements of event
  • Sends requests for proposals to potential meeting venues and/or city’s convention and visitors bureau
  • Summarizes proposals and provide recommendations for sponsoring office
  • Provides excellent written and verbal communication to sponsoring offices and anyone who contacts the Events Office, including event delegates, National Office personnel, venues, districts, and the public
  • Processes payments on a timely basis; reconciles monthly revenue and payments per registration revenue reports
  • Provides accurate accounting spreadsheet reports to the Accounting Office; reconciles post-conference invoices and journals
  • Provides logistical support for Alliance events, including all pre-event, onsite, and post-event details, plans for air travel, ground transportation, and lodging per sponsoring office requests
  • Ensures contract with venue is accurate, including sleeping room quantities, dates, meeting rooms, break‑out rooms, menus, cost, room setup, audio/visual, and meal functions
  • Negotiate rates, reviews and signs banquet event orders
  • Use selected online software to build registration sites for sponsoring office requests
  • Create registration reports, accounts with past due balances reports, and other reports as requested
  • Ensures an effective and user‑friendly registration process
  • Provides feedback to director for Events and sponsoring office on registration numbers or concerns, responds promptly and professionally to questions and requests from sponsoring office, registrants, and venue staff

Administrative Support:

  • Provides critical documentation to facilitate events support such as procedure manuals, system handbooks, training documentation, and general technical documentation
  • Develops reports, maintains and updates event timelines and procedures manuals
  • Assist in developing the policies and procedures for the Events Office
  • Manages the end-to-end contract review process by submitting contracts through ContractSafe, tracking reviews, obtaining fully executed agreements, and ensuring proper storage and documentation in accordance with company procedures
  • Serves as a member of the Council team as well as assists with the site selection team; assists with contract negotiations
  • Attends and supports pre‑events, onsite, and post‑event logistical for biennial General Council
  • Provides General Council event support as requested by the Director for Events in any of the following capacities:
    • Facilitate registrations, confirmations, payments, itineraries, ground transportation, lodging, meeting spaces, audio/visual needs, and meal functions
    • Coordinates special needs for event attendees
    • Manages contract requirements, room blocks, meeting rooms, rates, and equipment
    • Provides onsite event support, communications before, during, and after the event, event delegates, coordinators, speakers, vendors, and the public

  • Salary range $49,000 - $59,000 per year
