Overview:

Othera is seeking a detail-oriented and highly organized Event Coordinator to lead logistics across our in-person retreats, weekly wellness classes, and the launch of a new EEG wearable for our VIP wellness clientele. This individual will be integral in supporting cross-functional teams, coordinating timelines, and ensuring all client-facing touchpoints reflect the intention and healing philosophy of Othera.

Othera is a wellness innovation company rooted in the belief that healing happens when we reconnect with our bodies, breath, and the natural world. We create immersive programs that integrate somatic therapy, ancient practices, and clinical science to support trauma recovery and emotional resilience. Our offerings include guided retreats, digital healing programs, therapeutic tools, and a new wearable product designed to align brainwave data with chakra-based wellness outcomes.

Position:

As an Event Coordinator at Othera, you will serve as a key logistical driver across three core experiences: our destination retreats, our digital class activations, and the VIP onboarding experience for our EEG-based wellness wearable. You’ll be responsible for calendar oversight, vendor coordination, on-site and virtual event planning, and providing white-glove service for our wellness clientele.

Key Responsibilities:

• Oversee and coordinate all logistics for quarterly retreats, including travel, site setup, vendor comms, and on-site execution.

• Support weekly digital programming by scheduling instructors, setting up virtual events, and managing communications.

• Lead VIP client experience operations for our wearable product, from onboarding to integration events.

• Liaise with yoga instructors, clinicians, and leadership to ensure timely execution of deliverables.

• Maintain clear and consistent communications across teams and support content creation, calendar rollout, and RSVP tracking.

• Coordinate timelines with marketing and content teams to ensure consistent messaging before, during, and after each event.

Qualifications:

• 5+ years in event coordination or client-facing production roles.

• Experience in wellness, lifestyle, luxury, or hospitality a plus.

• Excellent communication, organizational, and project management skills.

• Proficiency with digital tools (Notion, Google Workspace, Airtable, Zoom).

• Comfort working in fast-paced, creative environments.

• Strong attention to detail with ability to anticipate problems and offer solutions calmly.
