Job Description:

POSITION SUMMARY:
The Event Coordinator supports the sales department by handling administrative functions that ensure the efficient operation of the Store. This role is essential for providing "unreasonable hospitality" by completing administrative duties and confirmation calls to finalize event details. The Event Coordinator also participates in the sales process and manages a portion of social market bookings.

QUALITIES OF AN OUTSTANDING EVENT COORDINATOR:

  • Good decision-making and effective communication with guests, Sales Team, and Management
  • Clear and regular communication with Operations, Sales Team, and guests
  • Ability to clearly verbalize guests' needs
  • Strong organizational skills
  • Strong verbal skills
  • Ability to analyze basic data for decision-making
  • Proficiency in English communication

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Ensure guest needs are met and all requests are communicated to update contracts accordingly
  • Handle RFPs and calls for social events, converting inquiries into confirmed bookings
  • Conduct site tours as needed
  • Distribute paperwork for "pop-up" parties and coordinate staffing
  • Provide administrative support to the Sales Department, including follow-up on calls/emails/tasks after closing a sale
  • Communicate any changes to BEOs or contracts to Operations
  • Follow up on accounts receivable, collect payments, and close remaining balances
  • Process check requests and invoices
  • Ensure Operations has the latest BEOs for each event
  • Offer upsell opportunities to Event Hosts post-sale
  • Perform other duties as assigned, acting proactively to meet team needs

Salary Range: $18.62 - $22.00 per hour
