Job summary

Addison Group is partnering with a well-established membership organization seeking Event Coordinators to join its growing team. This role focuses on delivering high-quality in-person events across North America, blending logistics, stakeholder engagement, and program development.

The Operations Coordinator will manage approximately 30 events annually, work with volunteers and staff, and ensure engaging educational programs while maintaining strong relationships and a focus on member experience.

Qualifications

  • 2–3 years of experience in event planning, project coordination, or related field.
  • Experience supporting in-person events, including logistics and program development.
  • Strong project management and organizational skills with ability to multitask.
  • Customer-first mindset with exceptional relationship-building abilities.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite.
  • Experience with event management platforms such as Cvent, Monday.com, and HubSpot preferred.
  • Ability to work independently while collaborating across teams.

Responsibilities

  • Coordinate and execute approximately 30 in-person events annually.
  • Partner with volunteer leaders and internal teams for education programs and agendas.
  • Collaborate with marketing to boost participation through outreach.
  • Serve as primary contact for volunteers, speakers, sponsors, and external stakeholders.
  • Build relationships with volunteer leaders to support engagement and recruitment.
  • Oversee event logistics: registration, communications, timelines, vendors, on-site support.
  • Track KPIs: attendance, satisfaction, sponsor engagement, budget performance.
  • Analyze event data and feedback to identify improvement opportunities.
  • Collaborate with teams to maintain best practices for event operations.
  • Recommend process improvements for efficiency and scalability.

Job description

Location: Hybrid – Downtown Chicago (Tuesday, Wednesday, Thursday in-office; Monday and Friday remote)

Compensation: $53,000 – $60,000 annually, plus eligibility for an annual discretionary bonus

Work Schedule: Full-time, 40 hours per week; flexible start times between 8:00 AM–4:00 PM or 9:00 AM–5:00 PM

Benefits: This position is eligible for medical, dental, vision, and 401(k).

Job Description

Key Responsibilitie

  • s.Build and maintain strong relationships with volunteer leaders to support engagement, retention, and recruitment effort
