Job summary

Sella Homes, a growing luxury residential builder and developer based in Phoenix, seeks an Estimating & Purchasing Manager to own financials of construction projects—from budgets and bidding to purchasing, cost tracking and invoice review.

Ideal candidate has 3+ years in residential construction estimating/purchasing and strong negotiation and analytic skills. This role offers ownership of purchasing systems and collaboration with the Senior Construction Manager.

Qualifications

• 3+ years of experience in residential construction estimating, purchasing, procurement, cost control, or related role.
• Strong negotiation skills and confidence working directly with subcontractors and suppliers.

• Experience with construction budgets, bids, contracts, POs, invoices, and change orders.

Responsibilities

• Develop and manage construction budgets from initial estimating through project completion.
• Coordinate the bidding process with subcontractors and suppliers.
• Solicit and manage competitive bids across all major trades.
• Review and compare bids for apples-to-apples comparisons.
• Identify missing scope, exclusions, allowances, discrepancies, and potential cost issues.
• Negotiate pricing, scope, and terms with subcontractors and suppliers.
• Work with the Senior Construction Manager to ensure complete and accurate scopes before bidding.
• Recommend subcontractors and suppliers based on cost, quality, reliability, and past performance.
• Prepare and manage purchase orders, contracts, and budget updates.
• Track committed costs, awarded costs, invoices, and remaining contract balances.
• Review and negotiate change-order pricing.
• Review invoices against contracts, POs, budgets, and change orders.
• Identify duplicate charges, billing discrepancies, overages, or unapproved costs before invoices move forward for payment.
• Coordinate with construction team to confirm completed work and prompt payment.
• Maintain accurate project budgets and purchasing information in Buildertrend.
• Develop cost benchmarks by trade and source new subcontractors and suppliers.
• Identify opportunities to reduce construction costs without compromising quality.

We are looking for a Estimating & Purchasing Manager to take ownership of the financial side of our construction projects—from initial budgets and bidding through purchasing, cost tracking, and invoice review.

• Work closely with our Senior Construction Manager to ensure scopes of work are complete and accurate before bidding
• Recommend subcontractors and suppliers based on cost, quality, reliability, and past performance
• Prepare and manage purchase orders, contracts, and budget updates
• Track committed costs, awarded costs, invoices, and remaining contract balances
• Review and negotiate change-order pricing
• Review subcontractor and supplier invoices against approved contracts, POs, budgets, and change orders
• Identify duplicate charges, billing discrepancies, overages, or unapproved costs before invoices move forward for payment
• Coordinate with the construction team to confirm completed work and ensure approved invoices move promptly to accounting for payment
• Maintain accurate project budgets and purchasing information in Buildertrend
• Maintain historical pricing and develop cost benchmarks by trade
• Build and maintain strong subcontractor and supplier relationships
• Continuously source and evaluate new subcontractors and suppliers
• Identify opportunities to reduce construction costs without compromising quality
• Coordinate long-lead purchasing with the construction team to support project schedules
• Help create and continuously improve estimating templates, bid comparisons, purchasing procedures, vendor databases, cost reports, and other scalable processes

What We’re Looking For

• 3+ years of experience in residential construction estimating, purchasing, procurement, cost control, or a related role
• Strong understanding of residential construction and subcontractor scopes
• Experience working with construction budgets, bids, contracts, purchase orders, invoices, and change orders
• Strong negotiation skills and confidence working directly with subcontractors and suppliers
• Strong analytical and problem-solving skills
• Ability to identify scope gaps and differences between competing proposals
• Excellent organization and attention to detail
• Strong spreadsheet skills and comfort with construction management software
• Buildertrend experience is a plus
• Phoenix-area subcontractor and supplier relationships are a plus
• Luxury residential or custom-home experience is preferred
• Desire to build systems, improve processes, and take increasing ownership as the company grows

Who Will Succeed in This Role

We’re looking for someone who takes ownership rather than simply processes quotes.

If three subcontractors submit different proposals, we want someone who digs into the details, understands why the numbers are different, identifies what may be missing, negotiates where appropriate, and helps determine which option provides the best combination of cost, quality, reliability, and schedule.

The same ownership continues after a vendor is selected. This person should understand what we agreed to pay, what has been completed, what has already been invoiced, and whether the next invoice is accurate before it moves forward for payment.
