The Estate Manager provides comprehensive support to the Company's UHNW clients. This role spans estate and property management, property operations, administrative coordination, and complex logistics across multiple locations in West Los Angeles. The ideal candidate is operations-oriented, proactive, highly organized, and resourceful, with the ability to manage competing priorities with exceptional judgment, discretion, professionalism, and composure.
Essential Functions
- Oversee and conduct routine property inspections; develop and maintain preventive maintenance schedules; coordinate routine, corrective, and capital improvement projects through to punch list completion.
- Oversee alarm systems, access controls, and emergency response protocols; manage vendor and staff access credentialing. Design and enforce comprehensive security protocols, emergency disaster plans, and privacy policies for the property and clients.
- Represent properties in HOA and municipal matters; ensure ongoing compliance with local ordinances.
- Manage and maintain property inventory systems, manage high-value deliveries, and ensure all properties remain guest-ready at all times.
- Coordinate tenant communications and maintenance response where applicable.
- Oversee property-level accounts payable; analyze monthly statements, review invoices for accuracy and budget compliance; coordinate funding requests with accounting teams.
- Maintain documentation for property taxes, insurance renewals, expense tracking, and supplemental policies; assist with reimbursements for finance team.
- Maintain organized, audit-ready digital records, track renewals, memberships, subscriptions, and service agreements.
- Oversee the sourcing, vetting, onboarding, retaining, and supervising of vendors, service providers, and property staff.
- Negotiate and finalize vendor contracts and pricing.
- Establish formal performance standards, execute disciplinary measures, and make recommendations regarding hiring and termination of vendors and property staff.
- Maintain and audit Master Vendor Lists; enforce confidentiality agreements and access control protocols across all properties.
- Serve as the primary point of contact for all property related matters; provide structured reporting to management and elevate material concerns in a timely manner.
- Always maintain strict confidentiality and professional boundaries.
Qualifications and Experience
- Minimum of 5 years of progressive experience as an Estate/Property Manager serving high-net-worth principals
- Exceptional written and verbal communication skills; highly organized with acute attention to detail.
- Strong critical thinking and problem-solving skills; resourceful under pressure and in time-sensitive situations.
- Service-focused, emotionally intelligent, and genuinely committed to client satisfaction and discretion.
- Professional presence and ability to remain calm under pressure.
- Flexible availability including evenings, weekends, and responsiveness across time zones relating to time sensitive or urgent matters.
- Proficient in Microsoft Office Suite; comfortable adopting property management platforms and digital tools.
