Job description

SO WHAT THE HECK IS AN ESCROW OFFICER?

An Escrow Officer is an administrative professional in the real estate industry who assists a Senior Escrow Officer with daily tasks to ensure a smooth transaction process leading to closing. The escrow team, consisting of a Senior Escrow Officer and an Escrow Officer, works with buyers and sellers to verify that all aspects of a real estate transaction are completed before closing. This includes confirming ownership, checking for encumbrances like liens or loans, and understanding any legal or contractual obligations such as HOA restrictions.

The escrow team manages the process from initial order intake to the final "cleared to close" status. While the Senior Escrow Officer oversees the entire process, the Escrow Officer ensures that no steps are missed, and can step in to complete tasks when needed, especially in their absence.

WHAT DOES IT TAKE TO BE SUCCESSFUL IN THIS ROLE?

Prior experience as an Escrow Officer or Escrow Assistant is highly beneficial, though candidates with backgrounds in finance, banking, or real estate lending (such as Loan Officers or Loan Processors) often excel in this role. The role demands high attention to detail, strong teamwork, proactivity, and excellent communication skills to relay information effectively to all stakeholders. Familiarity with the system called Qualia is a plus, but being tech-savvy and quick to learn new software is essential—no outdated tools like typewriters here!

Managing stress and handling demanding situations are crucial, as clients such as agents, lenders, buyers, and sellers often have high expectations and urgency. The role can be intense but also rewarding, with a fun team environment, including activities like "Almost-Virgin Margarita Fridays".

JOB SUMMARY

This role provides clerical support during real estate transactions, including opening title orders, communicating with involved parties, obtaining funding authorizations, reviewing files, digitizing documents, balancing and disbursing funds, and supporting the escrow process to ensure successful closings.

Preference will be given to candidates experienced in processing residential escrow transactions in Kentucky and Ohio, with additional compensation for those licensed in Ohio.

DUTIES & RESPONSIBILITIES

  1. Open escrows within 24 hours and provide copies to customers on the same day.
  2. Process escrows accurately, including funding, balancing, clearing prelims, and client signings.
  3. Order necessary documents like demands, loan documents, and insurance in a timely manner.
  4. Maintain communication records with all escrow partners.
  5. Follow company standards, practices, and applicable laws.
  6. Notify escrow officers of missing items or issues affecting closing.
  7. Deposit funds promptly upon receipt.
  8. Respond to calls, voicemails, and emails promptly.
  9. Perform additional duties as assigned.
  10. Adhere to company policies and guidelines.
