Job summary

Austin Equipment Yard is seeking an Equipment Service/Shop Administrator in Southwest Dallas, TX. The role supports daily yard operations, orders parts, maintains service records, and communicates with vendors, technicians, and supervisors.

The ideal candidate has 2–4 years in fleet administration or related roles, strong MS Office and CMMS/ERP experience, and excellent organizational skills for a fast-paced environment.

Qualifications

• High school diploma or GED required; associate degree or equivalent experience preferred.
• 2–4 years of experience in fleet administration, equipment services, logistics, or related administrative role.
• Experience supporting vehicle fleet operations, equipment services, or maintenance coordination preferred.
• Experience with Microsoft Office, PO systems, and service ticket software.
• Strong organizational skills with attention to detail and accuracy.
• Ability to manage multiple priorities in a fast-paced environment.
• Effective communication with technicians, vendors, and internal teams.

Responsibilities

• Maintain accurate service logs, work orders, and equipment histories.
• Prioritize service requests and communicate timelines to yard supervisors and field teams.
• Support technicians with documentation, manuals, and part specs.
• Order and manage inventory of parts, supplies, and consumables.
• Issue accurate purchase orders and source quotes from vendors; negotiate when appropriate.
• Maintain vendor relationships for timely delivery and accurate invoicing.
• Prepare weekly/monthly reports on equipment availability, service costs, and parts usage.
• Assist budgeting for equipment maintenance and parts procurement.
• Ensure compliance with safety and operational policies.
