Yale School of Art is seeking a dedicated staff member to oversee the Equipment Loan Office (ELO). You will be the school’s subject matter expert for digital recording and presentation, manage inventory and budgets, and provide training to student workers.

The role reports to the Digital Technology office and supports 35 classrooms during term-time. Responsibilities include front-line AV support, equipment setup, and escalation of issues.

Overview

The Equipment Loan Office (ELO) at the Yale School of Art provides no cost rental of digital displays, projectors, DSLR and digital video cameras, sound recording equipment, lighting kits and more to over 500 graduate and undergraduate students enrolled in School of Art classes each semester. TheELOis an essential part of the student experience at theschool, providing the opportunity to experiment with mediums that might require a high start-up cost, offering guidance to students on equipment choice and use, and equipping students to display their digital work in Green Hall Gallery during thesis shows.

We seek a dedicated staff member to oversee theELO, to foster exceptional customer service in the undergraduate student workers who will assist this position, to be the school’s subject matter expert in digital recording and presentation, and to manage inventory, budgeting, and purchasing of digital recording and presentation equipment for theELO and classrooms. This position will be a member of the Digital Technology office, under the direction of the Assistant Dean for Communications and Digital Media.

Responsibilities include overseeing inventory of the ELO, purchase and maintain equipment and report on budget. Provide training to students on the use of digital recording and presentation equipment. Hold scheduled training workshops. Review extension requests for equipment. Is present in and is acting supervisor of the ELO for all open hours during term-time, Serves as an escalation resource for customer service issues in ELO. Adds new users/maintains qualified user databases on the Yale School of Art’s Equipment Reservation website. Administrates charge of late fees on overdue equipment. Working with the school’s Systems Admin and Support Technician, provides back-up support for classroom and event A/V issues.

Attends all-school shop and lab managers meetings. Oversees all hiring, scheduling, training, time-card signoff, budgeting, and management of undergraduate work-study positions for ELO check-out.

Works closely with the school’s Galleries and Exhibitions Manager to arrange loaned equipment for curricular shows and sets up office hours to work with exhibiting students to get their digital installations up and running. May perform other duties as assigned.

Required Skills and Abilities
  • 1. Proven experience in a fast-paced, customer-focused AV environment.
  • 2. Exceptional oral and written communication skills, well organized and detail oriented. Ability to work through complex problems until they are resolved with the appropriate sense of urgency.
  • 3. Demonstrated ability to deliver excellent customer service skills, self-motivated with the ability to learn and adapt to new technologies. Able to work independently in a team environment.
  • 4. Proven ability to use a combination of research, previous experience testing and escalation to efficiently find the best solutions to technical problems.
  • 5. Strong problem-solving and troubleshooting skills, with a willingness to learn new skills to meet evolving media technology needs.
Preferred Skills and Abilities
  • 1. FineArt background, DigitalProductionBackground, Teaching technical skills.
  • 2. Basic operational understanding of AV distribution and switching devices.
Principal Responsibilities
  • 1. Provides basic instruction and assistance for faculty, students and professional staff in the use of audio-visual equipment.
  • 2. Executes audio-visual service requests for classroom and event support.
  • 3. Provides front-line technical support services, including the set-up, operation and troubleshooting of audio-visual equipment.
  • 4. Provides operational support and maintenance of audio-visual equipment, which includes but is not limited to digital projectors, plasma screens, computers, public address systems, audio recorders, audio mixers, amplifiers, DVD/VHS players, document cameras, 16mm film projectors, slide projectors, microphones, projection screens, control systems and video switchers.
  • 5. Provides daily support services for assigned classroom zone (approximately 35 classrooms) and serves as the initial point of contact for reporting and resolving problems in these classrooms.
  • 6. Escalates support issues within Media Services to ensure timely solutions.
  • 7. Documents service requests and problem reports for departmental databases.
  • 8. Maintains equipment inventory for assigned classroom zone including records of maintenance and repair.
  • 9. Tests and maintains audio-visual rental equipment.
  • 10. Performs scheduled preventative maintenance, cleaning and repair of audio-visual equipment.
  • 11. Performs component level replacement as needed.
  • 12. Maintains appropriate inventory of supplies and equipment in assigned distributed storage facilities.
  • 13. May perform other duties as assigned.
Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.
