Job summary

Level99 is seeking an organized, proactive Entertainment Install Coordinator to support our traveling installation teams during build-out and opening phases of new Level99 venues. You will work under the Install Team Manager on-site, serving as the administrative and logistical backbone to keep people, materials, schedules, and communications running smoothly.

This detail-oriented role operates in fast-moving, high-stakes environments with changing deadlines and multiple teams.

Qualifications

• Experience coordinating logistics or operations in entertainment, construction, or hospitality.
• Ability to manage complex details and maintain precise records.
• Professional verbal and written communication for stakeholder coordination.
• Proficiency in booking and managing flexible team travel logistics.
• Shipping/receiving, inventory tracking, and documentation experience.
• Familiarity with Google Suite and expense reporting tools.
• Detail-oriented with strong checklist execution and follow-through.
• Willingness to travel extensively and work irregular hours.

Responsibilities

• Handle all team travel logistics, including bookings and itineraries.
• Manage equipment shipping/receiving; track deliveries and discrepancies.
• Coordinate schedules and resources for on-site artists.
• Liaise with vendors/contacts about delivery updates and access.
• Maintain shipping logs, receipts, and activity notes.
• Track team expenses and prepare budget reports.
• Monitor progress; flag bottlenecks and assist resolution.
• Organize staging areas and manage tool inventory check-ins.
• Assist with onboarding logistics for new on-site members.
• Distribute status reports and travel updates to management.
• Provide hands-on support to installation crew; perform other duties.
