Equiliem is seeking an Engineering Administrator in Branchburg, NJ to support a Project Engineering team with administrative, system, and operational tasks.

You will manage timesheets, track hours, coordinate documentation, and assist with purchasing and site logistics, while liaising with vendors and cross-functional teams to keep projects organized and on track.

Qualifications

  • 2–5 years of administrative, project coordination, or engineering admin experience.
  • Experience supporting project managers/engineers or technical teams is preferred.
  • Proficiency with ERP systems, including SAP.

Responsibilities

  • Administer electronic timesheet systems by adding employees and projects and maintaining accurate records.
  • Track contract and augmented staff hours, verify timesheet entries, and identify missing or inaccurate hours.
  • Review and approve timesheets and coordinate with managers to resolve discrepancies.
  • Provide day-to-day administrative and project coordination support to project managers and engineers.
  • Track project documentation and identify required approvers for key deliverables.
  • Support MOC processes and maintain project documentation.
  • Organize equipment schematics, P&IDs, project records, and closeout documentation.
  • Schedule meetings and coordinate team meetings and project activities.
  • Maintain ERP/SAP records and create purchase requisitions.
  • Follow up with vendors regarding purchasing and documentation.

Job Summary

The Engineering Administrator provides administrative, system, and operational support to a Project Engineering team, helping ensure projects are organized, accurately documented, and completed efficiently. This role manages timesheet and staff augmentation records, supports project documentation and tracking, coordinates meetings, maintains system and purchasing information, and assists with financial and site logistics activities. The ideal candidate is highly organized, detail-oriented, service-focused, and comfortable coordinating multiple priorities across engineering, operations, vendors, and other departments.

Job Responsibilities
  • Administer electronic timesheet systems by adding employees and projects and maintaining accurate records.
  • Track contract and augmented staff hours, verify timesheet entries, and identify missing or inaccurate hours.
  • Review and approve timesheets and coordinate with managers and project stakeholders to resolve discrepancies.
  • Provide day-to-day administrative and project coordination support to project managers and engineers.
  • Track project documentation and identify required approvers for key project deliverables.
  • Support Management of Change (MOC) processes and maintain project documentation.
  • Organize equipment schematics, P&IDs, project records, and closeout documentation.
  • Schedule meetings and coordinate recurring team meetings and project-related activities.
  • Manage routine communications and administrative requests for management and operations teams.
  • Maintain ERP/SAP records and create purchase requisitions.
  • Follow up with vendors regarding purchasing, documentation, and project-related needs.
  • Process expense approval requests and coordinate with Accounts Payable to support timely invoice processing.
  • Maintain visitor and contractor logs and support site access activities.
  • Prepare materials and supplies for new employees, including name tags, business cards, and uniforms.
  • Coordinate accommodations and logistics for visitors as needed.
  • Participate in site safety meetings and follow all applicable health and safety procedures.
  • Support a strong safety culture by following established procedures and promoting accurate, compliant work practices.
Job Requirements
  • 2-5 years of administrative, project coordination, engineering administration, or related experience.
  • Experience supporting project managers, engineers, or technical teams is preferred.
  • Proficiency with ERP systems, including SAP.
  • Advanced Microsoft Office skills, particularly Microsoft Excel and spreadsheets.
  • Proficiency with Google Workspace.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and accuracy when managing records, timesheets, and project documentation.
  • Strong written and verbal English communication skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong follow-up and coordination skills when working with managers, vendors, and cross-functional teams.
  • Service-oriented approach and ability to work effectively with employees at various levels.
  • Ability to work independently while collaborating effectively with a team.
  • Experience in a manufacturing, specialty chemical, high-purity materials, or similar technical environment is preferred.
Education
  • Associate's or bachelor's degree in business, administration, engineering, a technical field, or a related discipline.
