Job summary

Contemporaries, Inc. seeks an Academic Program Coordinator to manage key operations for the Electrical and Computer Engineering Department. This full-time, 6-month position offers a hybrid schedule with 3 days on-site in Boston and 2 days remote, reporting to the Director of Administration and Finance.

You will oversee course scheduling, degree records, ABET reporting, and visa intake for visiting students. Strong communication and data analysis skills are essential.

Qualifications

  • Bachelor’s degree required; Master’s degree strongly preferred (may substitute for professional experience).
  • Minimum of 2–4 years of progressive administrative experience in a fast-paced office environment; university or academic setting preferred.
  • Knowledge of academic program administration, degree/course record management, and cross-office compliance coordination, including accreditation and program review reporting (e.g., ABET/Student Outcomes).
  • Experience with international student/scholar visa and immigration processes (e.g., SEVIS) preferred.
  • Experience supporting student employment or personnel processes (recruitment, hiring, onboarding, timesheet approval) preferred.
  • Experience serving as a primary point of public contact in a multi-constituent environment; experience leading or facilitating committee meetings.

Responsibilities

  • Course scheduling logistics, registration, room assignments, catalog/curriculum documentation for all UG and MS program needs.
  • Coordinating with college advising; advising students/faculty on academic policy
  • Maintaining degree and course records; ABET/Student Outcomes and Program Assessment reporting
  • Supporting accreditation and program review data
  • assisting with catalog/schedule maintenance and updates
  • Leading committee meetings, taking minutes, representing the committee at faculty meetings
  • Primary point of contact for current UG, MS and PhD students and prospective applicants
  • Advisor selection coordination and recordkeeping in collaboration with the Associate Chair for Graduate Studies
  • Planning/coordinating recruitment and student events; event budget support
  • Collecting and analyzing data on candidacy, placement, attrition, time-to-degree, stipends, recruitment/admissions/retention, and student feedback — and routing recommendations
  • Visitor Intake for Visa Processing: Collect required intake information and track timelines; support visa processing and onboarding
