Job summary

Jay Peak is seeking an Employee Housing Coordinator to manage housing for up to 175 domestic and international employees. You will maintain rental accounts, coordinate room assignments, and ensure safety, cleanliness, and compliance across properties including Inglenook.

Strong customer service, property management, and coordination with HR are essential. This full-time role requires communication across teams and responsiveness to residents in a winter resort environment.

Qualifications

  • Previous experience in customer service, management of rental properties and/or maintenance is preferred.
  • Ability to read, analyze, and interpret general correspondence; respond to tenants and coworkers.
  • Spanish language ability preferred but not required.
  • Mathematical skills: basic arithmetic.
  • Reasoning ability to solve practical problems with varied variables.
  • Strong people skills and clear communication with diverse staff.

Responsibilities

  • Review housing applications with the Housing & Transportation Manager.
  • Perform housing reference checks on applicants.
  • Administer leases for Jay Peak-owned properties and leased units.
  • Set up and maintain individual rental payment accounts.
  • Reconcile rental payments and pursue past due accounts weekly.
  • Coordinate room/unit assignments for international staff.
  • Provide monthly room assignment reports to Housing & Transportation Manager.
  • Ensure residents have necessary supplies (dishes, sheets, etc.).
  • Conduct weekly inspections for damage, safety and egress.
  • Respond to life safety and maintenance concerns via the online system.
  • Oversee cleaning of common areas at the Inglenook property.
  • Review surveillance system regularly.
  • Coordinate evacuations twice per season.
  • Enforce Rules of Conduct and document issues.
  • Maintain property smallware inventories and replenish as needed.
  • Address housing inquiries promptly.
  • Manage incoming/outgoing mail and packages.
  • Inform HR of interpersonal issues affecting housing.
  • Perform additional duties as assigned.

Promotes and sustains positive relationships with all tenants while providing a welcoming, safe, and clean atmosphere. The Employee Housing Coordinator is responsible for maintaining all employee rental accounts.ESSENTIAL DUTIES & RESPONSIBILITIES (to include the following, other duties may be assigned as needed)Receives and reviews with the Housing & Transportation Manager all employee housing applications.Conducts and confirms housing reference checks on each applicant.Administers housing lease agreements for Jay Peak owned properties as well as any properties Jay Peak leases for employee housing and ensures all are executed and filed properly.Sets up and maintains individual rental payment accounts using the preferred online software program.Reconciles rental payments and pursues past due accounts, providing updates to the Housing & Transportation Manager weekly.Coordinates with the HR Recruitment Specialist on room/unit assignments for International staff. Provides monthly room assignment report to Housing & Transportation Manager.Ensures that all residents have proper access and room inventory (dishes, sheets, etc.) to their assigned room/unit.Conducts weekly and vacating visual inspections of all employee housing properties to ensure all damage is identified and reported, and egresses are accessible and ensure that walkways are free of snow and ice.Responds to and monitors all resident life safety and maintenance concerns, complaints, and reports any and all needs via the preferred online maintenance reporting application.Oversees cleaning of common areas at the Inglenook property.Has access to and regularly reviews the Inglenook surveillance system.Twice seasonally, coordinates, conducts and documents building evacuations in all properties in coordination with the Housing & Transportation and Security Managers.Enforces Rules of Conduct, documenting all and contacting the Housing & Transportation Manager of any issues of noncompliance and/or need for further investigation.Maintains property smallware inventories and ensures proper stock levels for cleaning and housing supplies and requests replenishments as needed.Addresses resident housing inquiries and concerns in a timely manner, informing the Housing & Transportation Manager of all serious matters.Manages and distributes all incoming and outgoing mail and packages for the housing residents.Promptly informs the HR Recruitment Specialist of any interpersonal relationship issues with international housemates which may affect housing assignment.Any and all other duties as assigned by the Housing & Transportation manager which may be related or unrelated to the original position.To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Some facilities are located at the base or bottom area and some are semi-remote and can only be reached by traveling via chair lift(s), skis, or snowboards. Walking surfaces are frequently frozen, sloped, and slippery. Proper footwear is necessary, indoors and out. Workdays and hours, as well as the number of hours required will vary, with an emphasis on weekends and holidays.
