Job summary

Catholic Charities of Louisville is seeking a part-time Emergency Assistance Associate to manage the Nelson County, KY division's emergency fund and client services. The role focuses on helping individuals in crisis regain stability through direct financial assistance and by guiding them to preventive resources.

You will work closely with the Program Director, document client information, coordinate referrals, and support donor communications with compelling stories and accurate reporting.

Qualifications

  • High School Diploma is required.
  • Minimum of two years of office experience.
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook) and databases.
  • Must obtain Kentucky PIC certification within 30 days of hire.
  • Must maintain professionalism and confidentiality.
  • Must have a valid driver's license and reliable transportation.
  • Must read, write and understand English.

Responsibilities

GENERAL SUMMARY:

Under the supervision of the Program Director, manage the Emergency Assistance Program for Nelson County, KY division of Catholic Charities of Louisville.

In keeping with the mission, vision, and Catholic identity of Catholic Charities of Louisville, the said person demonstrates the Welcome, Empower, and Strengthen values of the agency.

The Emergency Assistance person’s primary focus is working directly with individuals and families in crisis and helping them regain stability by addressing immediate financial needs and directing them to resources that may help them avoid future hardships, developing skills for responding to their crisis.

This person will work closely with the Program Director and should have knowledge of available community resources and resources within SVDP and CCL.

ESSENTIAL DUTIES AND TASKS:

  1. Accept referrals from intake or other sources both within and outside of CCL and work with these individuals or families in need of short-term immediate assistance.
  2. Handle general intake phone calls and walk-ins from people in crisis requesting services, as needed.
  3. Oversee the scheduling and coordination of client financial assistance appointments to maintain an efficient and equitable workflow.
  4. Conduct continuous reconciliation of Emergency Fund balances, monitor available resources, and authorize weekly appointment schedule based on real-time funding capacity.
  5. Direct the coordination and processing of all Emergency Fund pledges and payments, working closely with Finance to ensure accurate, timely disbursements of funds,
  6. Identify, gather, and draft compelling client stories to support donor communications, including appeal letters and impact reports.
  7. Accurately record information in Charity Check and the agencies’ trackers as needed to ensure accurate monthly or yearly reporting or comply with funding requirements.
  8. Maintain up to date client case files with all supporting documents needed to complete client requests for assistance including ID’s, leases, proof of income etc.
  9. Provide referrals to other CCL service areas, or to other community services.
  10. Thoroughly and accurately document information and assistance given to each client in Charity Check.
  11. Continually research new community resources and connect with these resources to streamline referrals and inform about CCL.
  12. Partner with the Fabulous Finds Thrift Store and other service areas of CCL and the community to meet the clients’ needs.
  13. Cultivate and steward relationships with community partners, maintaining an accurate, up to date record of new and existing partnerships to strengthen service delivery and organizational visibility.
  14. Other duties as assigned by supervisor may include supporting other BFL staff through receipt of donations, distribution of food pantry items, or other forms of material and financial assistance.

SPECIALIZED SKILLS AND KNOWLEDGE:

  • Proficiency with Microsoft office, especially Excel.
  • Ability to lift 50lbs.
  • Strong interpersonal skills, with a passion for working with the elderly.
  • Ability to read, write and understand the English language

WORKING CONDITIONS:

This work is performed in a warehouse/office setting with moderate noise due to

computers, printers, warehouse equipment and people moving about .

Requirements

EDUCATION AND EXPERIENCE:

  • High School Diploma
  • Must possess a minimum of two years of office experience.
  • Must be proficient in PC skills including Microsoft Office applications such as Word, Excel, Outlook and databases.
  • Obtain State of Kentucky Person-In-Charge certification with 30 days of hire.
  • Must represent Catholic Charities in a positive manner in dress and presentation when meeting the public and demonstrate good networking skills.
  • Must be able to manage competing demands and use time effectively.
  • Must have knowledge of and familiarity with community resources.
  • Must have a valid drivers license and personal transportation.
  • Must be able to work under pressure and handle stressful situations.
  • Must be able to maintain confidentiality of information.
  • Must demonstrate self-confidence, initiative, flexibility and a high degree of professionalism.
  • Must work well with limited supervision and be able to solve problems independently.
