The Bid Coordinator serves as the administrative hub of the estimating department, organizing bid opportunities, managing project documents, tracking deadlines and addenda, coordinating vendor and subcontractor outreach, and assembling proposals to help estimators focus on scope, takeoffs, pricing strategies, and competitive estimates.

Qualifications

• High school diploma or equivalent required.
• Associate degree preferred.
• At least two years of administrative, construction-coordination, estimating-support, or bid-coordination experience preferred.
• Construction industry experience preferred.
• Electrical construction experience helpful but not required.
• Familiarity with commercial construction bidding processes is a plus.

Responsibilities

• Monitor incoming invitations to bid and track opportunities from receipt through award.
• Maintain bid calendars, logs, and opportunity databases.
• Coordinate bid reviews, addenda distribution, and internal estimate reviews.
• Create and maintain electronic bid folders; organize drawings, specs, addenda.
• Distribute bid documents to estimators and team members; maintain revision histories.
• Identify vendors and suppliers; request pricing for materials and equipment.
• Coordinate subcontractor outreach; track proposals and quotations.
• Monitor bid websites for updates and distribute addenda promptly.
• Gather project information for estimators and support reports.
• Prepare and assemble professional proposal packages; manage submission instructions.
