Description
Job Summary

The role coordinates initiative work for Educational Activities providing indirect leadership (coaching, coordination, priority setting) to contributors supporting reporting, systems, and process work streams.

The EA Project Manager provides overall planning, coordination, reporting, and task management for assigned projects within the IEEE Educational Activities portfolio. This position applies structured project management principles to support staff, volunteers, and contract resources in achieving project goals, deliverables, and schedules.

The individual ensures effective coordination between all stakeholders, maintains engagement of project teams and contributors, and provides recommendations to EA Leadership for the resolution of any obstacles impacting project objectives.

This role supports initiatives across EA's Student & Academic and Continuing Professional Education and IEEE efforts that are lead within the EA strucutre. The incumbent must have the initiative, organizational ability, and experience to lead an active and diverse project portfolio with minimal supervision, operating within a matrixed and highly collaborative environment.

Key Responsibilities
Overall Department Project Management Support
  • Manage EA portfolio tracking (programs, products and services) planning; align work to EA goals, IEEE policies, and governance timelines
  • Establish annual dashboard schedule, develop templates and engage staff to develop as needed
  • Standardize project documentation, status reporting, and deliverable reviews across teams
  • Serves as SME for project management tools and provides guidance to project contributors
  • Generate reports on project status, progress, and risk assessments for stakeholder leadership review
  • Prepare executive level presentations and analysis to support volunteer and staff leadership decisions and communications
  • Support EA wide reporting dashboards and metrics to promote transparency and data-driven decision-making
Project Management of Identified EA Initiatives
  • Define project scope with leadership stakeholders; established work plans, schedules, resource estimates, and success measures; including touch points to ensure execution according to plan
  • Manage stakeholder engagement where staff and volunteer leadership may provide indirect guidance to project contributors
  • Create detailed work plans that identify and sequence activities needed to successfully complete each project
  • Establish documentation and record keeping, prepare project reports for management/partners, and maintain regular stakeholder communications
  • Monitor progress and quality, adjust plans as necessary, and close out with results, lessons learned
  • Manage day-to-day logistics and project activities in accordance with IEEE policies and procedures
  • Oversee assigned vendors or contractors, ensuring deliverables meet performance and contractual requirements
  • Generate reports on project status, progress, and risk assessments for stakeholder leadership review
  • Ensure all project information and records are properly organized, documented, and secured
Qualifications
Education
  • Bachelor's degree or equivalent experience Pref
Work Experience
  • 4-7 years including 3-5 years of project management experience, preferably within a complex or matrixed organization. Experience in nonprofit environments is highly desirable. Proven record of successful project leadership, planning, and delivery required. Pref
Skills and Requirements
  • Technical ProficiencyProficient in Microsoft Office suite such as Word, Excel and PowerPoint
  • Experience in setting up electronic structures/systems (Google, SmartSheets, etc.) to manage projects and track metrics
  • Excellent communication and relationship building skills with senior staff and volunteer program/product stakeholders
  • Must be able to communicate effectively by e-mail, telephone and in person to individuals at all levels
  • Organization and multitasking under deadlines; attention to detail; dependable follow through with ability to work independently with minimal supervision
  • Exceptional analytical and problem solving skills; ability to translate data into clear insights and actions
  • Strong project management and change management capability in cross functional settings
  • Work Environment & Travel: Office-based (hybrid/office) role with frequent computer use and collaboration across teams; occasional travel for meetings, trainings, and events.
