Job Summary

The overall purpose of this position is to achieve IEEE's goal to have the greatest impact possible on inspiring students in engineering and technology, from basic awareness to academic success to preparing them for professional practice. The role will provide leadership in supporting the implementation and delivery of pre-university and university education resources designed for students and educators. This might include recommending improvements, day to day program execution, and developing new programs to improve IEEE's educational resources.

A primary responsibility for this position is overseeing the daily operations of the Engineering Projects in Community Service (EPICS) in IEEE program. This includes advancing EPICS as a flagship program for IEEE that supports service learning and empowers student members to develop sustainable technical solutions that impact communities around the world. The Specialist is expected to develop a deep knowledge of EPICS in IEEE operations and an understanding of the mission and goals to ensure they align with and meet IEEE's strategic objectives.

The Specialist will work with EPICS in IEEE volunteer leaders and collaborate closely with volunteers and staff within Educational Activities as well as all appropriate areas of IEEE in order to maintain and enhance EPICS operations. The Specialist will have primary responsibility for developing educational resources, managing the annual budget, maintaining records, compiling and preparing reports, collaborating and communicating with staff and Section leadership to process payments, overseeing the awarding and implementation of projects and ensuring compliance with IEEE methods and procedures.

An important function of this role, is collaboration with key volunteer leaders and staff, is the development, execution, and evaluation of strategies to ensure that EPICS in IEEE is a sustainable and growing program that impacts the technical, professional, and humanitarian aspirations of IEEE student members. The Specialist reports to the Sr. Manager, University Programs and Partnerships. This position works under general guidelines on overall business strategies and objectives; and is authorized to approve program expenditures within limits determined by the Educational Activities Department.

Key Responsibilities
Program Management - 50%
  • Directs the planning, strategic implementation and delivery of the overall EPICS in IEEE program and its activities in accordance with the mission and the goals of IEEE EAB (Educational Activities Board)
  • Identifies and develops new opportunities and partnerships to support the strategic direction of the program
  • Develops and implements communications and systems to ensure funds are distributed and reports are maintained
  • Designs and administers the processes and systems needed for the submission, screening, committee evaluation, and funding recommendations for the identification and selection of project proposals
  • Serves as the point of contact with vendors to oversee maintenance of related systems and tools
  • Designs and develops training resources and materials
  • Develops, plans, organizes and executes training events, conferences and workshops (virtual and in-person)

Supports a mentoring program to enhance the engagement of volunteers, undergraduate and high school students in the program

Relationship Management - 15%
  • Supports the work of the EPICS in IEEE Committee and collaborates with other EA and IEEE committees, volunteers and staff as needed
  • Supports student teams by answering questions throughout the proposal and project implementation phases

Liaise with other IEEE OUs to foster collaborations between departments

  • Leads the development and implementation of a brand presence (i.e., web presence, print and electronic media, participation in conferences, meetings, social media etc.) for a) promotion and publicity, b) dissemination of projects, and c) knowledge sharing and networking
  • Supports the implementation, in cooperation with the IEEE Foundation, of an effective and multi‑faceted communications plan for EPICS in IEEE that integrates into the IEEE Foundation’s overall communications and marketing plans

Identifies, plans for and represents IEEE and EPICS in IEEE at relevant venues and events around the globe

Data Analysis and Reporting - 15%
  • Develops, maintains, collects, analyzes and reports quantitative and qualitative program metrics and evaluations criteria, in cooperation with IEEE Research, and recommends changes to enhance the program, as appropriate
  • Ensures the program has a sound business plan, operates within the approved budget and timeline, and all financial records are up to date.
  • Responsible for preparation of compelling and persuasive presentations and reports, IEEE & IEEE Foundation Boards, Committees, IEEE Leadership on program activities

Qualifications
Education
  • Bachelor's degree or equivalent experience Engineering, Education or Business preferred Req
Work Experience
  • 2-4 years Related professional experience in project management, student engagement, community development, and/or non-profit program coordination Req
  • 2-4 years Knowledge and/or experience with the development of marketing and promotional materials Pref
  • Knowledge of service learning desirable Pref
  • An understanding of not-for-profit organizations and working with volunteer, boards and committees Pref
Skills and Requirements
  • Excellent written and oral communication skills.
  • An understanding of engineering, technology and computing is a plus.
  • A background in community engagement activities is preferred.
  • Must possess outstanding project management and interpersonal skills
  • Experience and skill in developing and delivering effective presentations to a variety of audiences is preferred.
  • Knowledge and experience in fundraising and donor relations is a plus.
  • An understanding of IEEE is a plus.
  • Must have sensitivity to domestic, international and cultural protocols
  • Must be proficient in the use of or understanding of Office Suite Products (Word, PowerPoint, Excel, Access) and Google Docs
  • HTML/web and blogging software (e.g., Wordpress, Drupal) and Social Media Vehicles and Management tools (e.g., FB/Twitter/Hootsuite/Bitly) experience is a plus
  • Individual must be self‑motivated, disciplined, and organized
  • Demonstrated abilities in applying business solutions to changing needs
  • Capacity to work across the organization. Must demonstrate the highest degree of professionalism when dealing with sensitive and/or confidential matters
  • Positive, proactive work attitude
