Job description

About Cynos Express

Cynos Express LLC is a multicultural, Asian-owned small business building a portfolio of consumer brands across e-commerce channels. We are a small, hands-on team building our e-commerce operations and brand outreach infrastructure from the ground up—not a rigid corporate environment with siloed departments. We are looking for someone naturally organized, dependable, and adaptable who is just as comfortable executing daily order workflows, auditing inventory spreadsheets, and protecting account health as they are reaching out to influencers.

The Role

This is a 100% in-person position requiring daily attendance at our East Rutherford, NJ office and warehouse. Remote and hybrid work are not available. All interviews for this position are conducted in person at our East Rutherford office.

We are looking for a detail-oriented, entry-level E-Commerce Operations & Marketing Associate to take ownership of our daily e-commerce operations, marketplace channel health, and master inventory records, while supporting our influencer outreach and marketing execution across multiple consumer brands.

Your time is balanced between core operations and creator outreach, with daily operations always coming first: answering morning channel messages, processing and shipping orders accurately, reconciling inventory counts and master sheets, and protecting seller channel health. Once daily operational needs are handled, your remaining time focuses on researching creators, conducting cold outreach, and managing influencer communications. As a growing small business, priorities shift daily. You will move between desk work (spreadsheets, seller portals, messages, creator outreach) and warehouse tasks (picking, packing, shipping, counting stock), plus any adjacent tasks needed.

Core Responsibilities
  1. Order Fulfillment & Physical Inventory Control
    • Process, pick, pack, and ship daily customer orders and influencer product samples accurately and on time across all sales channels.
    • Print shipping labels, prepare packages, verify order accuracy, and coordinate carrier pickups or drop-offs.
    • Conduct physical warehouse inventory counts, stock checks, and shelf organization to verify what is actually on hand.
    • Receive, inspect, unbox, count, and organize incoming inventory shipments and supplies.
    • Monitor packing materials, boxes, labels, and warehouse supplies, alerting leadership before stock runs low.
    • Maintain a clean, organized, and efficient workspace and fulfillment area.
    • Physically move, organize, and lift boxes and product cases up to 20-30 pounds as part of daily fulfillment and inventory duties.
  2. Master Inventory & Multi-Channel E-Commerce Management
    • Maintain, audit, and overhaul internal master inventory spreadsheets (Excel / Google Sheets) to ensure 100% accurate stock counts.
    • Reconcile inventory levels across multiple e-commerce platforms and marketplaces so stock numbers match across all channels and prevent overselling or stockouts.
    • Update product listings, stock quantities, pricing, SKU details, or basic catalog information across seller portals as directed.
    • Track damaged, returned, expired, or promotional/sample inventory so every unit is accounted for on the master sheet.
    • Maintain organized digital records, order trackers, and operational logs.
  3. Customer Service, Marketplace Account Health & Compliance
    • Monitor and respond to daily customer messages, inquiries, and support tickets across all e-commerce marketplaces, email, and social channels in a polite, timely, and professional manner.
    • Handle routine post-purchase requests, including order tracking inquiries, shipping issues, exchanges, returns, replacements, and refund processing.
    • Monitor customer reviews and feedback to protect brand reputation.
    • Handle escalations calmly, troubleshooting issues independently or escalating to leadership.
    • Identify recurring customer questions or product/shipping issues and communicate them to the team so we can improve operations.
    • Proactive Marketplace Account Health Monitoring: Routinely check the account health, performance dashboards, and metrics of every seller channel to catch warnings, policy violations, or performance issues before they impact the account.
  4. Influencer & Creator Outreach & Communications
    • Research and identify relevant influencers, affiliates, and content creators across TikTok, Instagram, YouTube, and other platforms who fit our brands.
    • Build, organize, and maintain detailed influencer prospect lists and outreach trackers in Excel / Google Sheets.
    • Conduct consistent cold outreach via email, social media DMs, and platform creator tools to initiate partnerships and seeding collaborations.
    • Manage day-to-day communications and follow-ups with influencers and external partners professionally and reliably—ensuring no conversation falls through the cracks.
    • Coordinate influencer product seeding end-to-end: confirm shipping addresses, pack and ship sample packages, track deliveries, and follow up to ensure content or deliverables are posted.
    • Keep leadership updated on creator responses, campaign status, and partnership opportunities.
  5. General Marketing Support & Cross-Functional Flexibility
    • Assist with practical marketing execution as needed—such as tracking campaign results, organizing digital assets, monitoring brand mentions, or coordinating simple promotional activities.
    • Occasionally assist with content prep (gathering products, setting up props, or helping behind the scenes) and promotional events or pop-ups.
    • Take on adjacent operational, administrative, or vendor follow-up tasks as the company grows.
Who We Are Looking For

Above all, we want someone who is naturally organized, detail-oriented, and genuinely enjoys keeping spreadsheets, orders, customer messages, and account health in order—not someone who has to force themselves to be organized. This is an entry-level-friendly role; we care much more about your work ethic, accuracy, communication, and willingness to pitch in than years of experience.

You should be:

  • Detail-Oriented & Organized: Comfortable auditing spreadsheets, catching small discrepancies in inventory numbers, and keeping multiple trackers up to date without letting tasks slip.
  • Proactive & Persistent with Outreach: Comfortable initiating cold contact with influencers and external partners, sending polite follow-ups, and hearing "no" or getting no reply without getting discouraged.
  • Clear & Professional Communicator: Able to write polite, clear, and grammatically sound messages whether you are resolving an upset customer's escalation or messaging a creator on behalf of our brands.
  • Flexible & Team-First: Comfortable working in a small-business environment where the playbook is still being built, priorities can change during the week, and everyone helps out with adjacent tasks when needed.
  • Independent & Reliable: Once you learn a process, you take ownership of it and follow through without needing step-by-step reminders every day.
Qualifications

Required:

  • Strong proficiency with Excel and/or Google Sheets for maintaining trackers, updating master inventory sheets, and organizing data (no advanced coding/macros required, but you must be comfortable working in spreadsheets daily).
  • Strong written and verbal English communication skills.
  • High attention to detail and accuracy in both data entry and physical order packing.
  • Ability to lift and move boxes up to 20-30 lbs and spend part of the workday on your feet handling fulfillment and inventory.
  • Comfortable learning new e-commerce platforms, shipping software, and social media outreach tools quickly.

Preferred:

  • Prior experience in e-commerce, order fulfillment, inventory control, retail, or warehouse operations.
  • Prior experience in customer service, administrative coordination, or social media / influencer outreach.
  • Familiarity with Amazon Seller Central, TikTok Shop, Shopify, Walmart Marketplace, eBay, or shipping platforms.
Position Details & How to Apply
  • Employment Type: Full-Time, 100% On-Site
  • Location: East Rutherford, NJ
  • Starting Salary : From $35,000 per year, depending on experience
