Full Time

The Property Administrator will perform and/or oversee all office activities of a senior residential community. This role is responsible for maintaining an accurate reporting system of resident accounts and office processes within assigned timelines. The Property Administrator will assist the Executive Director with financial oversight of budget, department declining budgets, NOI, coverage ratio, cash flow, and loss prevention.

Required Experience

  • 2-4 years of experience in property management
  • Ability to write clearly and concisely
  • Effective verbal communication skills with individuals and groups
  • Ability to work collaboratively as part of a team
  • Proficiency with Microsoft Office Applications
  • Accounting or financial experience preferred
  • Administrative experience required
  • Knowledge of Yardi
  • Some travel may be required

Primary Responsibilities

  • Assume Executive Director responsibilities when required
  • Manage front office personnel and supervise staff
  • Function as Manager on Duty, including weekend rotations
  • Schedule front office staff
  • Complete resident billing and process payments
  • Record income, notify residents of non-payments, and perform month-end closing
  • Maintain property files and vendor documentation
  • Provide quality service to residents
  • Manage lease renewals and move-in/move-out paperwork in Yardi
  • Reconcile petty cash and process invoices weekly
  • Administer payroll and maintain department expenses within budget
  • Purchase supplies and maintain vendor relationships
  • Additional duties as needed, supporting team performance and organizational improvement
  • Train front office staff as needed
  • Manage receivables and collections
  • Conduct monthly general ledger reviews
  • Collaborate on operational forecasting with 98% accuracy over four months

General Working Conditions

This position involves standing for long periods, effective communication, and the use of hands for handling equipment and documents. Occasional lifting up to 25 pounds is required. The work environment is moderate noise, with occasional travel to different locations.
