Full Time

The Property Administrator will perform and oversee all office activities of a senior residential community. This role is responsible for maintaining an accurate reporting system of resident accounts and office processes within assigned timelines. The Property Administrator will assist the Executive Director with financial oversight of budget, department declining budgets, NOI, coverage ratio, cash flow, and loss prevention.

Required Experience
  • 2-4 years of experience in property management
  • Ability to write clearly and concisely
  • Effective verbal communication with individuals and groups
  • Ability to work collaboratively as part of a team
  • Proficiency with Microsoft Office Applications
  • Accounting or financial experience preferred
  • Administrative experience required
  • Knowledge of Yardi
  • Some travel may be required
Primary Responsibilities
  • Assume the responsibilities of the Executive Director when required.
  • Manage front office personnel and carry out supervisory responsibilities according to policies and laws.
  • Manage weekend rotation as Manager on Duty.
  • Schedule front office staff and oversee resident billing, collections, and payments.
  • Perform month-end closing and ensure timely, accurate reporting.
  • Maintain property files, vendor certificates, and supervise office supplies.
  • Provide professional service to residents and manage lease documentation in Yardi.
  • Handle payroll, expenses, invoices, and petty cash reconciliation.
  • Support departmental budgeting and expense control.
  • Train front office staff and pursue receivables collections.
  • Review general ledger monthly and collaborate on operational forecasts with 98% accuracy over 4 months.
General Working Conditions

This role requires standing for long periods, effective communication, and handling documents and equipment. Occasional lifting up to 25 pounds and travel may be needed. The work environment is moderate noise.
