Job summary

zTrip is seeking a detail-oriented Driver Compliance Specialist to oversee driver documentation, compliance tracking, credential management, and administrative support functions. This role ensures drivers remain compliant with regulatory requirements and company standards while supporting operational readiness and accurate recordkeeping.

Qualifications

  • Experience in compliance, administration, transportation, logistics, fleet operations, human resources, driver qualification management, or a related field.
  • Knowledge of licensing, credentialing, documentation management, or regulatory compliance processes.

Key Responsibilities of a Driver Compliance Specialist:
Driver Compliance Management
  • Monitor driver qualifications, licensing requirements, certifications, permits, and renewal deadlines.
  • Ensure driver files remain complete, accurate, and compliant with company policies and regulatory requirements.
  • Conduct routine audits of driver records and documentation.
  • Track compliance metrics and proactively address deficiencies.
  • Coordinate with drivers to obtain missing or updated documentation.
  • Assist leadership in maintaining regulatory readiness and operational compliance.
Credential & Documentation Administration
  • Maintain confidential electronic and physical driver records.
  • Process and verify onboarding documentation for new drivers.
  • Update driver information within company databases and tracking systems.
  • Ensure records are properly organized, secured, and accessible when needed.
  • Manage document retention and archiving procedures.
  • Support licensing, permit renewals, and required compliance submissions.
Driver Support & Communication
  • Serve as a resource for drivers with questions regarding compliance requirements, documentation, and company policies.
  • Communicate upcoming renewal deadlines and compliance obligations.
  • Assist drivers in navigating licensing, permit, and documentation processes.
  • Provide timely and professional follow-up regarding outstanding compliance items.
  • Build positive working relationships that encourage accountability and compliance.
Auditing & Quality Assurance
  • Perform regular compliance reviews to identify discrepancies or missing information.
  • Generate audit reports and recommend corrective actions where necessary.
  • Verify the accuracy of onboarding files and ongoing driver records.
  • Support internal and external compliance reviews.
  • Help develop best practices that strengthen compliance performance and record accuracy.
Operational & Administrative Support
  • Coordinate onboarding schedules, compliance appointments, and related administrative activities.
  • Prepare reports and tracking logs for leadership review.
  • Support workforce planning initiatives through accurate record management.
  • Collaborate with recruiting, operations, and management teams to ensure a smooth driver lifecycle process.
  • Assist with special projects and departmental initiatives as assigned.
Reporting & Data Management
  • Maintain compliance dashboards, spreadsheets, and record-tracking systems.
  • Produce reports related to driver status, credential expirations, onboarding progress, and compliance performance.
  • Analyze trends and identify opportunities for process improvement.
  • Provide timely and accurate information to leadership for decision-making purposes.
  • Support continuous improvement efforts through accurate reporting and documentation.
Qualifications of a Driver Compliance Specialist:
