Job summary

The University of Texas at Austin's Cockrell School of Engineering seeks a Stewardship Associate to join the Development and Alumni Relations team. The role focuses on donor stewardship and the planning and execution of stewardship and donor recognition events for the Dean’s development team.

Regular support for events throughout the year, including evenings and weekends as needed, with logistics, budgets, and vendor management.

Qualifications

• Bachelor’s Degree with at least one year in administration, development, or related fields.
• Experience planning, coordinating, and executing events.
• Experience supporting fundraising programs or handling complex administrative tasks.
• Ability to work with confidential information.
• High proficiency in Microsoft Office and Adobe Creative Suite.
• Strong organizational, verbal, and written communication skills.
• Ability to interact with a wide range of people and work under deadlines.
• Ability to work independently and as part of a team.
• Demonstrated initiative and judgment.

Responsibilities

• Coordinate logistics for donor stewardship and recognition events, including venue, catering, invitations, RSVP tracking, and on-site support.
• Support Dean’s stewardship calendar with staff to schedule donor visits and appreciation events.
• Maintain event budgets, process payments, and document approvals.
• Manage guest lists and attendee tracking in the CRM used by gift officers and stewardship teams.
• Coordinate with campus partners and vendors to secure space, AV, security, parking, and other needs.
• Assist with planning signature stewardship events such as donor society celebrations and endowment recognitions.
• Provide on-site support for setup, registration, and breakdown, including some evenings/weekends.
• Serve as primary contact for vendors and campus partners on stewardship events and approvals.
• Other duties as assigned.
