Job Title: Donor Relations & Development Coordinator

General Purpose of the Job: The Donor Relations & Development Coordinator will provide administrative and operational support to the development team. This role is essential in ensuring the smooth execution of fundraising campaigns, donor communications, and event coordination. The ideal candidate is organized, tech-savvy, and passionate about nonprofit work.
Essential Duties And Responsibilities
- Donor Database Management:
- Maintain and update donor databases and records with accuracy and confidentiality.
- Track contributions and manage donor engagement stages.
- Organize, generate, and update donor prospect report lists.
- Relationship Support & Donor Outreach:
- Create and maintain a stewardship calendar with alerts.
- Prepare and deploy acknowledgement letters, thank you notes, and regular updates.
- Assist with creation and maintenance of outreach lists.
- Conducts donor research and compiles background information for development staff.
- Gather outreach content and organize donor impact reports.
- Support donor recognition for Annual Report.
- Fundraising Appeals:
- Contribute to planning and design of appeals and fundraising materials.
- Support Marketing with execution and distribution of printed and virtual fundraising materials.
- Track timelines for appeals, online giving, and peer-to-peer fundraising.
- Generate reports on fundraising activities, donor engagement, and appeal outcomes.
- Fundraising and Advocacy Event Support:
- Support the planning and organization of fundraising events, graduations, open houses, etc.
- Develop and track guest lists.
- Oversee guest check-in at events.
- Coordinate with Marketing staff for materials such as invitations, programs, etc.
- Communicate with and coordinate event volunteers.
- Maintain planning documents and manage event logistics and external outreach with stakeholders.
- Generate reports and track fundraising metrics as needed.
- General Support & Administration:
- Monitor LinkedIn, Business Journals, and other resources for aligned organizations and potential stakeholders.
- Coordinate with programs and Marketing to gather stories for donor outreach and newsletters.
- Collaborate with Marketing and Communications to promote fundraising initiatives via social media, email, and other channels.
- Provides general administrative support to the development team.
- Uses technology for the completion of specified job duties.
- Works cooperatively with others, including all staff, supervisors, administrators, co-workers, individuals served, community professionals, customers, vendors, and the public.
- Follows instructions and abides by agency policies and procedures.
- Assumes other duties, responsibilities, and special projects as needed.

Education And/or Experience
- Bachelor’s degree or equivalent experience in nonprofit management, communications, or related field.
- One to two years of experience in nonprofit development, fundraising, or a related area.
- Experience with event planning, donor communications, and/or fundraising campaigns.
- Familiarity with CRM and online fundraising platforms.
Language Skills
- Ability to read and comprehend instructions and compose appropriate correspondence.
- Excellent written and verbal communication skills are required.
Mathematical Skills
- Ability to add, subtract, multiply, and divide into all units of measure using whole numbers, common fractions, and decimals.
Reasoning Ability
- Ability to apply common sense understanding to complete written, oral, or diagram instructions.
Certificates, Licenses, Registrations
- Valid non-provisional driver’s license from state of residence and acceptable driving record as determined by criteria established by the Agency’s insurance carrier and by Agency policy.
Other Skills And Abilities
- Strong attention to detail and commitment to donor confidentiality.
- Proficiency with Microsoft Word, PowerPoint, Publisher, and various software applications.
- Ability to manage multiple tasks and meet deadlines.
- A team player with a positive attitude and a commitment to the organization’s mission.
Work Environment
- Primarily indoors, busy office environment; frequent deadlines; local travel may be required.
- Able to work a flexible schedule, including evenings and Saturdays on occasion.
- The work environment may include video and/or audio monitoring.
