The Division of University Advancement is seeking a dynamic, service-focused Donor Experience Coordinator to help bring the University at Buffalo's mission to life through meaningful donor engagement and recognition. This is an exciting opportunity for someone who enjoys blending creativity, organization, and relationship-building to create exceptional experiences for donors. As a key member of the Donor Experience team, you’ll help ensure that donors feel valued, appreciated, and connected to the difference their philanthropy makes across the university. Working closely with the Senior Director of Donor Experience and colleagues throughout University Advancement, you’ll support donor recognition programs, gift societies, stewardship initiatives, and memorable events that celebrate generosity and strengthen lifelong relationships with UB. Whether coordinating a donor event, managing an important recognition program, or helping bring a special engagement initiative to life, your work will play a direct role in fostering connections that advance student success, research, and innovation.

If you’re energized by meaningful work, thrive in a collaborative environment, and enjoy turning thoughtful ideas into memorable experiences, we would love to hear from you.

Key responsibilities include:

  • Coordinate donor recognition and gift society programs by supporting member communications, benefit fulfillment, record maintenance, promotions, stewardship activities, recognition signage, and related initiatives.
  • Manage program information and operations using the division’s customer relationship management system to maintain records, process updates, produce mailing lists and reports, and track donor engagement.
  • Support donor events and experiences by coordinating registration, communications, nametags, signage, materials, seating, hospitality, and onsite event execution.
  • Oversee promotional materials and inventory through vendor coordination, order management, licensing compliance, distribution, and maintenance of event and program supplies.
  • Contribute to effective project delivery by assisting with schedules, operational planning, program metrics, administrative processes, and continuous improvement efforts.
  • Provide exceptional service by responding to donor inquiries professionally and collaborating with colleagues across University Advancement, including Stewardship, Alumni Engagement, Annual Giving, and Advancement Communications.

What We’re Looking For

If you are a highly organized, service-minded professional who enjoys managing details, deadlines, and multiple priorities while keeping the donor experience at the center of your work, this opportunity may be a strong fit for you. The ideal candidate communicates clearly and professionally, builds positive relationships, and collaborates effectively with colleagues and external partners.

They are comfortable working with databases and administrative systems, coordinating events and projects, maintaining accurate records, and responding thoughtfully to questions and requests. They bring initiative, sound judgment, adaptability, and a strong commitment to follow-through.
