Job summary

Project Harmony is seeking a dedicated Database Coordinator to support our Development Team. Under the direction of the Chief Development Officer, you will manage donor data, produce acknowledgements, and drive reporting and data extraction to support fundraising efforts.

You will train staff on the database platform, collaborate with IT and Finance to ensure data accuracy, and help create dashboards that improve donor engagement and event planning while upholding confidentiality and ethical

Qualifications

• Bachelor's degree preferred.
• 2+ years of experience with administrative procedures and systems such as data entry, filing and recordkeeping.
• Related training and experience in database management will be considered.

Responsibilities

• Manage day-to-day administration of the donor database: data entry, dashboards, reporting and list outputs (mailings and registrations), donor portfolio management, ensuring data accuracy and gift recognition.
• Produce donor acknowledgements and request letters for in-kind, event and standard donations.
• Lead the donor database usage and train Development staff on the database platform.
• Collaborate with IT and Development on changes, updates and system advancements.
• Enhance process efficiencies and donor database utilization.
• Maintain guest lists and prepare registration data for fundraising events.
• Produce accurate reports and donation reconciliations with Development/Finance teams.
• Assist with volunteers and donations as needed by the Development team.

The Database Coordinator works under the direction of the Chief Development Officer and is a member of the Development Team of Project Harmony. This position serves as a key role in the Development Department with processing of donations and donor acknowledgement, data recording and tracking. This individual will be responsible for financial reporting, mail list coordination and data extraction.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Manage day-to-day administration of the donor database: including data/gift entry, creating dashboards, reporting and list outputs (mailings and registrations), donor portfolio management, maintaining procedures to ensure accuracy of all data and gifts, recognition, and financial reports
• Produce donor acknowledgements and request letters in a timely manner for in-kind, event and standard donations
• Serve as donor database lead to help train Development team and staff, on effective utilization of the database platform
• Collaborate with the IT team and Development team regarding changes, updates and system advancements
• Work to continually enhance process efficiencies and donor database utilization
• Maintain guest lists, gather and prepare registration data and other duties for fundraising events
• Effectively work with the Development/Finance teams to produce accurate reports and donation reconciliations
• Assist with volunteers and donations as needed by Development team
• Ensure culturally competent services are provided to all families we serve without regard to race, ethnicity, religion, socioeconomic status, disability, gender or sexual orientation
• Other duties as assigned by Development team, Chief Development Officer and Chief Executive Officer

QUALIFICATIONS

Education

• Bachelor's degree preferred

Experience and Training

• 2 + years of previous experience with knowledge of administrative procedures and systems such as data entry, filing and recordkeeping
• Related training and experience in database management will be considered

Knowledge/Skills/Abilities

• Excellent computer skills using Microsoft Office Suite
• Strong knowledge of database software preferred, with experience performing queries and analytical reports
• Strong editing skills; meticulous grammar and spelling
• Excellent communication skills (written, verbal and active listening)
• Ability to work collaboratively with co-workers, business partners, donors, volunteers, etc.
• Must be a self-starter and able to work independently
• Ability to handle multiple projects simultaneously with attention to detail and accuracy while adhering to deadlines in a fast-paced environment
• Excellent organizational and time management skills
• Demonstrate a high level of professionalism, confidence and ethical standards

• Must be able to lift and/or move up to 20 pounds within/outside the organization

• Position may involve some travel, primarily within the state
