Project Harmony Child Protection Center seeks a Database Coordinator to join the Development Team under the Chief Development Officer. You will manage donor data, process gifts, generate acknowledgments, and support financial reporting.

This role requires accuracy, collaboration with IT and Finance, and a commitment to equitable, ethical fundraising practices across all families served.

Qualificações

  • 2+ years of experience with administrative procedures and data entry
  • Related training/experience in database management considered
  • Proficient in Microsoft Office and data reporting tools
  • Strong editing, grammar, and communication skills
  • Ability to work independently and meet deadlines

Responsabilidades

  • Manage day-to-day donor database administration: data entry, dashboards, reports, lists, and gift recognition
  • Produce donor acknowledgments and letters for various donations
  • Serve as database lead and train staff on database usage
  • Collaborate with IT and Development teams on system updates
  • Enhance data processes and donor database utilization
  • Maintain event registration data and guest lists
  • Generate accurate financial and donation reports with Finance
  • Support volunteers and donations as needed
  • Ensure confidential handling of donor information
  • Perform other duties as assigned by the Development team

We are seeking an experienced and committed Database Coordinator to join our dynamic and innovative organization. The Database Coordinator works under the direction of the Chief Development Officer and is a member of the Development Team of Project Harmony. This position serves as a key role in the Development Department with processing of donations and donor acknowledgement, data recording and tracking. This individual will be responsible for financial reporting, mail list coordination and data extraction.

Essential Duties And Responsibilities
  • Manage day-to-day administration of the donor database: including data/gift entry, creating dashboards, reporting and list outputs (mailings and registrations), donor portfolio management, maintaining procedures to ensure accuracy of all data and gifts, recognition, and financial reports
  • Produce donor acknowledgements and request letters in a timely manner for in‑kind, event and standard donations
  • Serve as donor database lead to help train Development team and staff, on effective utilization of the database platform
  • Collaborate with the IT team and Development team regarding changes, updates and system advancements
  • Work to continually enhance process efficiencies and donor database utilization
  • Maintain guest lists, gather and prepare registration data and other duties for fundraising events
  • Effectively work with the Development/Finance teams to produce accurate reports and donation reconciliations
  • Assist with volunteers and donations as needed by Development team
  • Ensure culturally competent services are provided to all families we serve without regard to race, ethnicity, religion, socioeconomic status, disability, gender or sexual orientation
  • Other duties as assigned by Development team, Chief Development Officer and Chief Executive Officer
Education
  • Bachelor’s degree preferred
Experience And Training
  • 2 + years of previous experience with knowledge of administrative procedures and systems such as data entry, filing and recordkeeping
  • Related training and experience in database management will be considered
Knowledge/Skills/Abilities
  • Excellent computer skills using Microsoft Office Suite
  • Strong knowledge of database software preferred, with experience performing queries and analytical reports
  • Strong editing skills; meticulous grammar and spelling
  • Excellent communication skills (written, verbal and active listening)
  • Ability to work collaboratively with co‑workers, business partners, donors, volunteers, etc.
  • Must be a self-starter and able to work independently
  • Ability to handle multiple projects simultaneously with attention to detail and accuracy while adhering to deadlines in a fast‑paced environment
  • Excellent organizational and time management skills
  • Demonstrate a high level of professionalism, confidence and ethical standards
  • Strong problem solving and decision‑making skills
  • Exceptional work ethic
  • Must be able to lift and/or move up to 20 pounds within/outside the organization
  • Must respect and maintain confidentiality
Other
  • Must be willing to work flexible hours
  • Must submit to a thorough criminal history background check
  • Must have access to a vehicle, possess a valid driver’s license and proof of insurance
  • Position may involve some travel, primarily within the state
