Job summary

Scan Global Logistics is seeking a Domestic Operations Coordinator for an on-site role based in Cleveland, OH or Chicago, IL. You will coordinate, process, and manage all domestic logistics for outgoing shipments, ensuring timely movement and high-quality customer service across production facilities and third-party warehouses.

Responsibilities include arranging freight, scheduling with carriers, monitoring status, preparing documents, and ensuring DOT compliance.

Qualifications

• Freight industry experience of 2+ years required.
• Experience coordinating domestic logistics for trade show shipments is required.
• Familiar with freight forwarding operations and procedures.

Responsibilities

• Arrange and manage domestic freight shipments (LTL, FTL, expedited, intermodal) from pickup to delivery.
• Schedule pickups and deliveries with carriers based on customer requirements and service levels.
• Monitor shipment status with real-time tracking updates and resolve delays.
• Prepare and review shipping documents such as BOLs, rate confirmations, and delivery receipts.
• Ensure DOT compliance and internal freight handling standards.
• Coordinate domestic trade show shipments and ensure on-time delivery for events.
• Serve as primary contact for customers regarding orders and delivery schedules.
• Communicate updates via phone and email professionally and promptly.
• Investigate customer complaints or freight claims and work with carriers for resolution.
• Build relationships with customers by understanding logistics needs and providing service excellence.
• Enter shipment data into the transportation management system accurately.
• Coordinate with dispatch, warehouse, and billing to ensure operational efficiency.
• Verify carrier invoices against rate agreements and assist with discrepancies.

Position Overview:

As a Domestic Operations Coordinator, you will be responsible for processes and procedures used in freight forwarding activities, while operating within a team to coordinate, process, and manage all domestic logistics related to our outgoing business flows from our varies production facilities and 3rd party warehouses. Ensuring timely and accurate movement of freight and information, while providing exceptional customer service within the Operations Department.

Job Description:

• Arrange and manage domestic freight shipments (LTL, FTL, expedited, intermodal) from pickup to delivery.
• Schedule pickups and deliveries with carriers based on customer requirements and service levels.
• Monitor shipment status, provide real-time tracking updates, and proactively resolve transit delays or issues.
• Prepare and review shipping documentation such as BOLs, rate confirmations, and delivery receipts.
• Ensure compliance with DOT regulations and internal freight handling standards.
• Oversee the coordination of domestic trade show and exhibition shipments, managing time-sensitive logistics and ensuring on-time delivery.
• Serve as a key point of contact for customers regarding orders, delivery schedules, and service inquiries.
• Communicate professionally and promptly via phone and email to provide shipment updates and resolve issues.
• Investigate and manage customer complaints or freight claims (damage, delay, loss), working with carriers to ensure resolution.
• Build strong relationships with customers by understanding their logistics needs and ensuring service excellence.
• Enter and maintain accurate shipment data in the transportation management system.
• Coordinate with internal departments including dispatch, warehouse, and billing to ensure operational efficiency.
• Verify carrier invoices against rate agreements and assist with billing discrepancies.

Education and Experience:

• Freight industry experience +2 years (is must)
• Experience in freight forwarding operations processes and procedures
• Relevant experience coordinating domestic logistics for trade show and exhibition shipments is required

Physical Requirements:

• Prolonged periods sitting at a desk and working on a computer
• Must be able to lift 15 pounds at times

Job Type: Full-time

Schedule: 8-hour shift (Monday to Friday)
