Job summary

ERM is hiring a Document Specialist in Charlotte, NC to support electric transmission and distribution projects. The document specialist manages, organizes, updates, and secures an organization’s physical and digital files.

They ensure all records remain accurate, properly formatted, retrievable, and compliant with retention policies. This full-time, limited-term role lasts 12 months (extendable) with benefits including PTO, medical, dental, vision, 401(k), and life & disability insurance.

Qualifications

  • Bachelor's Degree preferred, High School Diploma required.
  • Minimum 1 year of document control experience.
  • Experience preparing project documents (easement agreements, licenses, permits) per client requirements.
  • Ability to handle large volumes of information systematically.
  • Proficiency with electronic document management systems (EDMS), cloud storage, and Microsoft Office.
  • Collaborate with multiple departments to streamline workflows.

  • Proofread and check documents for completeness, accuracy, and proper formatting.
  • Track revisions and ensure staff use current document versions.
  • Supply requested files to internal teams or external auditors.

Job description

ERM is hiring Document Specialists in Richmond, VA/Raleigh and Charlotte, NC to support electric transmission and distribution project efforts. The document specialist manages, organizes, updates, and secures an organization’s physical and digital files. They ensure all records remain accurate, properly formatted, easily retrievable, and compliant with legal or company retention policies. This is a full-time (40 hours a week) limited-term role with a duration of 12 months, extendable.

Responsibilities
  • Sort, label, categorize, and archive digital and paper files.
  • Proofread and check documents for completeness, accuracy, and proper formatting.
  • Track revisions and make sure staff use only current, up-to-date document versions.
  • Quickly find and supply requested files to internal teams or external auditors.
  • Follow strict privacy laws and company retention schedules.
Qualifications
  • Bachelor's Degree preferred, High School Diploma required.
  • A minimum of 1 year of document control experience.
  • Prepare, revise, and assemble project-specific real estate documents, including easement agreements, option agreements, licenses, access agreements, permits, and other land rights instruments in accordance with client requirements.
  • Handle large volumes of information systematically.
  • Use electronic document management systems (EDMS), cloud storage, and Microsoft Office.
  • Work well with different departments to streamline workflows.
Pay Transparency

For the Document Specialist position, we anticipate the annual base pay of $68,640 – $84,577, $33.00/hr – $40.66/hr USD, limited-term, non-exempt. An employee’s pay position within this range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, and business or organizational needs. We also may have instances where employee’s fall outside of the range based on the factors noted above. This job may be eligible for bonus pay (casual and fixed term/Flexforce employees are NOT bonus eligible).

  • Benefits Eligibility is limited to Regular employees regularly scheduled to work 20 or more hours per week.
