Job summary

Ayesa Engineering is seeking a Document Controller to manage document flow, storage, and compliance across large civil infrastructure projects. The role focuses on CDE management, document numbering, and audits, with hybrid working and a strong emphasis on quality.

Ideal candidates will have 2+ years in document control, experience with Asite/ProjectWise, and solid Microsoft Office skills, especially Excel.

  • Excellent communication and interpersonal skills; able to train others.

  • Experience on large civil infrastructure projects.
  • Relevant industry qualification or training.

Responsibilities

  • Manage the flow of documents in and out of the project.
  • Ensure documents are stored in the relevant Common Data Environments (CDEs).
  • Issue documents to clients and external stakeholders per approved processes.
  • Upload incoming documentation to the filing system.
  • Maintain the Master Information Delivery Plan and ensure document numbering validity.
  • Manage CDEs such as Asite and ProjectWise.
  • Perform audits and compliance checks on documents when required.

Position

What You Will Be Doing

As a Document Controller, you will be responsible for the smooth flow of documents in and out of the project, ensuring that correct processes and procedures are followed. You will also ensure that documents are correctly stored and organised in the relevant Common Data Environments.

  • Issuing of documents to the client and other external stakeholders, following the approved processes and procedures.
  • Uploading incoming documentation to the relevant filing system.
  • Populate and manage the Master Information Delivery Plan, ensuring all documents have a valid document number.
  • Management of CDE’s, such as Asite and ProjectWise.
  • Ensure document registers are kept up to date, and archiving systems are in place.
  • Perform audits and compliance checks on documents as required.

What You Bring

  • Minimum of two years’ relevant experience in document control roles.

  • Detail-oriented with a focus on maintaining high standards of quality and compliance.
  • Excellent communication and interpersonal skills, with the ability to train and guide team members effectively.
  • Strong administration skills and knowledge of Microsoft Office products, in particular Excel.
  • Experience working on large-scale civil infrastructure projects.
  • A relevant, industry recognised qualification or previous training.
