Reporting to the Document Controls Manager, this position has overall responsibility to support all processes and systems of the administered plan for controlled documents and information management specifically for the DP&C Group (Delivery Projects & Construction).
Primary Responsibilities:
- Help develop and implement processes and procedures supporting all areas of DP&C (Document Controls/Information Management and Project Management).
- Lead teams to create, review, and update Document Controls in accordance with industry and company standards to support project teams.
- Benchmark and evaluate existing document control practices, identify gaps, and implement improvements.
- Assist in developing and implementing document control processes, procedures, requirements, and change controls to meet compliance standards.
- Respond to inquiries (legal, audit, etc.) regarding Document Controls.
- Communicate updates on Document Controls to relevant users.
- Create and present PowerPoint or other presentations to management as needed.
- Generate reports on Document Controls performance for management.
- Develop and conduct training programs for document control systems (MS SharePoint and FileNet), including workshops.
- Coordinate communication and change management strategies with managers and document owners.
- Supervise internal support staff, vendors, and contractors as needed.
- Identify support staff requirements, evaluate performance, and assist in staff development.
- Track budget effectiveness for document control programs.
- Ensure adherence to corporate procurement procedures.
- Enforce document control standards for all projects.
- Perform system administration tasks as required.
- Serve as backup to the Documents Manager when needed.
- Test and evaluate systems in conjunction with QA procedures.
- Develop processes for archiving regulatory documents and managing access and distribution.
Qualifications
Requirements:
- College degree required.
- Advanced knowledge of SharePoint and ECM principles, strategies, systems, and best practices.
- Minimum 2 years supervisory experience.
- 2-4 years broad documentation experience.
- Advanced computer technology knowledge.
- Experience in testing, reporting, and building surveys in SharePoint or online.
- Knowledge of electronic publishing, file formats, graphics, and software.
- Proficiency in Microsoft Office products.
- Experience gathering business requirements, building sites, and training clients.
- Experience working with IT teams on project development.
- Valid driver’s license required.
- Commitment to fostering an inclusive and diverse work environment.

- Broad business experience and knowledge of company operations.
- Web interface knowledge/HTML.
- Database experience (e.g., Access).
- Knowledge of XML and DITA architecture/programming.
