About The Position

Looking to bring order to the chaos of complex infrastructure projects—without commuting into it? Luster National is seeking a Document Control Specialist to support major public works initiatives, while staying plugged into the pulse of New York’s transit transformation. If you thrive on precision, version control, and making compliance look effortless, this role offers the chance to keep mission-critical documentation flowing smoothly across stakeholders, systems, and city agencies.

This is a long-term, part-time, remote opportunity based in New York, NY.

Responsibilities
  1. Maintain and organize project documentation, ensuring accuracy, version control, and accessibility.
  2. Implement document control procedures in alignment with stakeholder standards and industry best practices.
  3. Ensure compliance with regulatory requirements, contractual obligations, and internal policies.
  4. Track and manage document revisions, approvals, and distribution across project stakeholders.
  5. Coordinate with project managers, engineers, contractors, and other stakeholders to ensure proper document flow.
  6. Facilitate communication between internal teams and external stakeholders regarding document updates.
  7. Provide training and guidance on document control processes to project personnel.
  8. Utilize document management systems to store and retrieve project records (e.g., MS SharePoint, ProjectWise, etc.)
  9. Ensure proper indexing and metadata tagging for efficient document retrieval.
  10. Support audits and inspections by maintaining organized and accessible records.
  11. Generate reports on document status, approvals, and outstanding actions.
  12. Conduct periodic reviews to ensure document integrity and compliance with project requirements.
  13. Assist in preparing documentation for regulatory submissions and project closeout.

Minimum Qualifications
  1. Bachelor’s degree in Business Administration, Engineering, or related field, or equivalent combination of education and experience.
  2. 3+ years’ work experience as a Document Control Specialist on large, complex, public works infrastructure engineering programs.
  3. Experience working on NYC MTA projects in a similar role with knowledge of MTA standards, regulatory requirements, and document management protocols.
  4. Proficiency with industry standard document control software (e.g., SharePoint, ProjectWise, etc.)
  5. Proficiency with Microsoft Office Suite/Office 365 (e.g., Outlook, Teams, Word, Excel, PowerPoint, etc.)
Compensation Details

The salary range listed for this role is $83k-$124k/yr ($40-$60/hr.) The final salary offered is based on multiple factors and is thoughtfully aligned with each candidate’s level of experience, breadth of skills, total education achieved, certifications/licenses that have been obtained, etc.
