Part-Time On-Site - 9 Month Contract Period
Location: Chocolate Bayou, Texas Area
JOB SUMMARY
We are seeking a dependable, organized, and detail-oriented Part-Time On-Site Document Control Coordinator to support engineering, construction, and industrial project teams. This position is responsible for printing, receiving, scanning, indexing, filing, distributing, and maintaining controlled project documents and records.
The successful candidate will have strong administrative and document-management skills, along with enough familiarity with engineering, design, drafting, construction, or industrial documentation to recognize common document types and correctly categorize drawings, specifications, submittals, transmittals, and related project records.
JOB FUNCTIONS
- Print, distribute, store, manage, retrieve, and maintain company and project documents in accordance with established document-control procedures.
- Assist project managers and project team members with maintaining meeting minutes, drawings, specifications, approvals, submittals, transmittals, correspondence, and other related project records.
- Process incoming files received through email, shared drives, FTP sites, document-management systems, client portals, and other approved sources.
- Scan, index, name, upload, and file documents using established naming conventions, folder structures, file indexes, and document-control procedures.
- Maintain accurate document logs, transmittal records, revision histories, document registers, distribution lists, and status trackers.
- Verify that documents are complete, legible, properly identified, and routed to the appropriate internal or external recipients before release or filing.
- Support document reproduction, printing, and distribution activities and help ensure users receive the correct current revision of controlled documents.
- Identify and categorize common technical documents, including drawings, specifications, submittals, transmittals, vendor documents, RFIs, meeting records, and project correspondence.
- Assist with Requests for Information logs, submittal logs, and other clerical tracking records supporting the document-control function.
- Archive superseded documents in accordance with project procedures while helping ensure obsolete versions are removed from active-use locations.
- Learn, follow, and support established document lifecycle procedures, retention standards, revision-control requirements, and distribution practices.
- Support small projects, discrete work packages, or assigned portions of larger projects with routine document-control and records-management activities.
- Assist with routine document audits, records retrieval, and file clean-up activities as directed.
- Perform other assignments as necessary and directed by management.
SKILLS AND QUALIFICATIONS
- High school diploma or equivalent required.
- Associate degree, technical certificate, or coursework in business administration, drafting, engineering technology, construction management, records management, or a related field is preferred.
- 5+ years of experience in document control, records management, project administration, office administration, or a related support role is preferred.
- Experience in an industrial, engineering, construction, manufacturing, fabrication, technical-office, or project-services environment is helpful.
- Basic familiarity with technical documents, including drawings, specifications, submittals, transmittals, and revision-controlled project records.
- Basic drafting, design, engineering, construction, or technical-documentation experience is preferred. The candidate must be able to recognize general document types and disciplines for appropriate indexing, filing, and routing.
- Basic understanding of document revision control, document numbering, filing practices, naming conventions, and records retention.
- Proficiency with Microsoft Word, Excel, Outlook, Teams, Adobe Acrobat, and shared-drive folder structures.
- Familiarity with SharePoint, document-management systems, client portals, FTP sites, Deltek, engineering document-management systems, or similar platforms is preferred but not required.
- Strong organization, attention to detail, and accuracy in data entry, indexing, and record maintenance.
- Ability to follow established procedures, manage routine deadlines, and work independently with appropriate direction.
- Clear written and verbal communication skills.
- Demonstrated dependability, professionalism, teamwork, flexibility, integrity, and commitment to high-quality work.
- Must have a valid driver’s license and a driving record that meets company driver requirements.
- Must be eligible to obtain and maintain a TWIC card, if required for assigned work locations or projects.
- Must be eligible to work in the United States without current or future employer sponsorship.
- Must be able to successfully complete an approved background check.
- Must be able to pass a pre-employment drug and alcohol test and participate in random testing in accordance with company policy, client requirements, and applicable law.
- As a condition of employment, candidates must be eligible to work in the United States in accordance with applicable law. Visa sponsorship is not available for this role.
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS
This part-time, on-site position is primarily based in a plant-facility office environment and involves regular computer, filing, scanning, printing, and document-reproduction work. The employee may periodically be required to visit, conduct work in, or attend job walks at an operating plant, construction site, client facility, or other industrial work area.
During site visits or assignments, the employee may be exposed to outdoor weather conditions, heat, elevated noise levels, moving mechanical equipment, electrical energy, construction activity, vibration, fumes, chemicals, and airborne particles. Required personal protective equipment will be provided and must be worn in accordance with company, client, and site-specific safety requirements. Required safety training will be provided before performing work requiring such equipment or entering designated work areas. OSHA requires employers to assess hazards, provide appropriate PPE where needed, and train employees required to use it.
The physical demands described below are representative of those that may be required to perform the essential functions of this position, with or without reasonable accommodation:
- Prolonged periods of sitting and working at a computer.
- Frequent use of hands and fingers to operate a computer keyboard, scanner, copier, printer, telephone, and other standard office or document-reproduction equipment.
- Ability to communicate effectively in person, by telephone, and electronically.
- Ability to review printed and electronic documents and distinguish relevant document information, including document titles, numbers, revision levels, and filing information.
- Ability to stand, walk, bend, stoop, reach, climb stairs, and occasionally climb a ladder as needed to access files, work areas, or project locations.
- Ability to safely attend job walks and site visits in industrial or construction environments while wearing required personal protective equipment.
- Ability to occasionally lift, carry, move, or position materials and document boxes weighing up to 15 pounds.
- Ability to operate a company vehicle and travel between company offices, client facilities, and project locations, when required.
- Work schedules are determined by client, project, and departmental needs. Core work hours may be established to ensure required coverage, and flexibility in start and end times may be available when operational requirements are met.
