Job summary

Patterson + Sheridan, LLP is seeking a Docketing Coordinator to maintain patent and trademark deadlines in the docketing system. You will generate reports, update records, and ensure accuracy of filings.

Ideal candidates will have strong attention to detail and experience in a law setting, with familiarity in IP rules and a collaborative, client-focused approach. Hybrid work may be available under the firm’s Remote Work Policy.

Qualifications

  • Minimum High School Diploma or equivalent required.
  • Associate degree or Paralegal Certificate preferred.
  • 1+ year experience in a law firm or corporate law department preferred.
  • Experience with IPManager (TIPMS) is a plus.

Responsibilities

  • Generate and distribute daily and weekly docket reminder reports.
  • Update database with attorney responses and deadlines.
  • Review and process USPTO mail and filings for accuracy.
  • Enter all IP deadlines into docketing database daily.
  • Monitor and update US/foreign case records and docket entries.
  • Assist in auditing IP prosecution matters transferred to the firm.
  • Prepare patent status and docket reports for lawyers and clients.
  • Maintain knowledge of IP rules and procedures.
  • Troubleshoot Patent and Trademark Office issues as needed.
  • Provide support on special projects and attendance-sensitive tasks.
  • Assist with monitoring annuities and quarterly payments.

The Docketing Coordinator is responsible for docketing on a daily basis, including all relevant and pertinent deadlines into the docketing database to keep patents and trademarks in force for attorneys and patent coordinators.

Responsibilities:
  • Generate and distribute daily and weekly docket reminder reports;
  • Update database with attorney responses;
  • Review and process outgoing USPTO mail and electronic filings reported to docketing for accuracy and completeness; review and process all incoming IP mail daily and enter all necessary deadlines into database;
  • Monitor and update information on all U.S./foreign case records/related docket entries in database;
  • Assist in auditing/entering/updating all IP prosecution matters transferred into the firm;
  • Generate and prepare patent status and docket reports for lawyers and clients upon request;
  • Maintain current knowledge of IP rules and procedures, both domestic and foreign;
  • Assist in troubleshooting Patent and Trademark office issues;
  • Assist in other duties/special projects as assigned by supervisor or requested by attorneys.
  • Assist with monitoring annuities and processing quarterly annuity payments for clients.
  • Ability to effectively work/communicate with partners, clients and all levels of Firm personnel
  • Ability to work independently as well as in a team environment
  • Ability to collaborate with others and build upon a culture of collaboration and teamwork across offices and departments
  • Understanding of the importance of deadlines and consequences when deadlines are missed
  • Strong attention to detail, accuracy and time management while multi-tasking effectively; strong organizational skills
  • Ability to proactively develop and maintain technical knowledge in specialized area(s), remaining up-to-date on current trends and best practices

Education/Experience/Requirements:
  • Minimum High School Diploma or equivalent education certificate required
  • Associate degree or Paralegal Certificate Preferred
  • At least (1) year working in a law firm or corporate law department preferred
  • At least (1) one year working in IP law firm preferred
  • Ability to use a desktop/laptop computer, phone, copier and other general office equipment as needed
  • Proficient in Microsoft Outlook, Word, PowerPoint, Excel and basic computer/office functions
  • Knowledge of IPManager (TIPMS) docketing software is a plus
  • Ability to lift files, open filing cabinets and bend or stand as necessary
  • Normal business hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. in the firm’s office. Subject to management’s discretion and team needs, hybrid work may be available pursuant to the firm’s Remote Work Policy.
