  • Provide administrative support to the division, including composing correspondence and maintaining department documents.
  • May assist with department/division payroll functions.
  • Assist in budget building and monitor expenditures.
  • Manage office supplies and requisitions; track usage and processing.
  • Retrieve and disseminate reports, agendas, or management information.

Job Description

PURPOSE AND SCOPE:

The Division Operations Specialist assists with managing generaloperations of a large instructional support division or department.Responsible for coordination of support functions such asscheduling, maintenance, communications, equipment, workflows,supplies, information processing, and staff support. Responsiblefor providing academic and/or departmental support by coordinatingoffice activities to achieve optimum utilization of equipment andemployee productivity.

ESSENTIAL JOB FUNCTIONS:

  1. Build schedules during registration and notify of classcancellations
  2. Provides supervision and training to support staff and studentworkers
  3. Coordinates and schedules office duties based uponpriorities
  4. Provides administrative support to the division, including butnot limited to composing correspondence from verbal direction orfrom knowledge of the organization, remaining active in planning,analysis and revision of department schedules and calendars,arranging meetings, and maintaining department documentation andfiles
  5. May assist with various department/division employee payrollfunctions
  6. Assumes lead in budget building and assists in the budgetplanning process; Sets up, maintains and monitors budgetexpenditures
  7. Manages office supplies; Includes tracking supply usage,maintaining appropriate levels of supplies, preparing andprocessing requisitions, verifying receipt and distribution ofsupplies, and submitting documentation for appropriate payment ofrequisitions
  8. Retrieves, compiles, and disseminates a variety of reports,correspondence, agendas, or management information in support ofdepartment/division
  9. Some positions may perform a variety of Faculty supportfunctions, including but not limited to input and/or maintenance offaculty qualifications information, program coordinationactivities, and acting as liaison and facilitator for adjunctfaculty communicating with them regarding instructional matters andprofessional development
  10. Responsible for other reasonable, related duties asassigned


KNOWLEDGE, SKILLS AND ABILITIES:
  • Strong attention to detail
  • Strong working knowledge of Microsoft Office Suite and theability to learn new software
  • Excellent organizational skills and the ability to prioritizewell
  • Ability to work on multiple projects
  • Ability to document expenses
  • Ability to maintain confidentiality
PHYSICAL ABILITIES:

The work is sedentary. Typically, the employee sits comfortably todo the work. However, there may be some walking; standing; bending;carrying of light items, such as papers, books, or small parts; ordriving an automobile. No special physical demands are required toperform the work.

WORK SCHEDULE AND CONDITIONS:
  • Equipment used includes, PC workstation running on a LAN in aMicrosoft Windows environment, calculator, phone and other generaloffice equipment
  • Interface with internal and external contacts as needed tocarry out the functions of the position
  • Work is performed in a climate-controlled office with minimalexposure to safety hazards
REQUIRED QUALIFICATIONS:
  • High School Diploma or GED and at least 3 years of experience,or an equivalent combination of education and experience
PREFERRED QUALIFICATIONS:
  • Associate degree or higher
  • Experience in office administration
Salary

Hiring salary range is $36,057 - $41,466.

Lone Star College provides a hiring salary range for all postedfull-time non-faculty positions. Where your salary offer would fallin that range is determined by your related experience andeducation. Should you receive an offer of employment from Lone StarCollege, the resume submitted in the application process will beutilized to calculate your salary offer.
