Job summary

Capital Square Living seeks a District Service Manager to oversee technical and mechanical work across communities, ensuring high standards of cleanliness, safety, and functionality. You will lead service teams, coordinate CapEx and Renovation projects, and mentor staff to promote a strong safety culture.

The role requires supervising teams, coordinating preventive maintenance, and managing vendor and contractor relationships while maintaining budgetary discipline and reporting on project

Qualifications

  • High school diploma or GED or related experience.
  • 5+ years in service within Multifamily, with 3+ years supervising teams.
  • Experience in drywall, electrical, carpentry, flooring, plumbing, painting, appliances, and lock changes.
  • Capital Improvements projects and remodeling experience.

Responsibilities

  • Handle service requests and routine maintenance per policies and safety standards.
  • Manage make-ready process for vacant units, including vendor coordination and inspections.
  • Set standards for grounds, exteriors, interiors, and common areas to reflect CS Living quality.
  • Inspect work by team members and contractors; implement corrective actions when needed.
  • Maintain inventory of spare parts and supplies; coordinate budgets with the Community Manager.
  • Perform monthly preventative maintenance per policy manual.
  • Support cost-control by repairing rather than replacing when feasible.
  • Provide excellent resident-facing service and respond promptly to issues.
  • Communicate project updates on CapEx and Renovations to stakeholders.
  • Assist with acquisitions and transitions as needed.
  • Coordinate annual maintenance inspections; ensure coverage for portfolio.

SUMMARY

As a District Service Manager (DSM) at CS Living, you will oversee and perform technical and mechanical work that ensures the interior and exterior buildings, grounds, amenities, and common areas of your assigned home community meet CS Living’s standards for cleanliness, appearance, safety, and overall functionality. The District Service Manager supports project teams by managing all service-related processes and procedures as well as safety processes and procedures to ensure the success of your home community, the residents therein, and the successful completion of construction projects within your assigned region, including but not limited to CapEx and Renovations. The District Service Manager is responsible for training and educating Service team members, in cooperation and support of the VP of Learning & Development, and for driving CSL’s safety culture by demonstrating commitment to an injury-free environment through personal actions and mentoring others.

PRIMARY RESPONSIBILITIES: ASSIGNED HOME COMMUNITY & DSM ROLE
  • Assists and completes work orders generated from resident requests for service, as well as routine upkeep on the community, by diagnosing the source or cause of the defect or problem and making repairs in accordance with established policies, procedures, safety standards, and code requirements
  • Oversees and completes the “make-ready” process to prepare vacant apartment homes for leasing and new move-ins by completing the pre-move-out inspection, creating a list of maintenance work needed, scheduling vendors and contractors as needed, obtaining needed supplies and materials, completing all maintenance tasks, and inspecting completed work
  • Develops standards for the cleanliness and overall appearance of the community’s grounds, amenities, building exteriors, market‑ready unit interiors, breezeways, curbs, signage, leasing office, central garbage areas, parking lots, and other buildings and common areas to ensure that they reflect and represent the high quality of the community and CS Living standards
  • Periodically inspects work performed by other service team members to assess effectiveness of policies and procedures and develop corrective action plans as needed
  • Periodically inspects work performed by contractors, vendors, and other service providers to verify the work, materials, and services meet quality standards, scope, and specifications as required
  • Maintains adequate inventory of spare parts and maintenance materials and works with the Community Manager to order supplies and tools as needed to stay within budgetary guidelines
  • Completes monthly preventative maintenance procedures as outlined in the Policy and Procedure Manual
  • Supports cost‑cutting and expense‑control programs by fixing rather than replacing parts when possible, not being wasteful with materials and supplies, and practicing the correct use of tools and equipment
  • Demonstrates customer service skills by treating residents and others with respect, answering questions from team and residents, and responding sensitively to complaints about maintenance services and assigned work orders with efficiency and urgency
  • Communicates with key stakeholders to provide updates on the status of ongoing CapEx and Renovation projects
  • Responsible for the internal reporting of CapEx and Renovation projects, including timing, financial updates, project quality, and completion through the respective Master Renovation Tracker and Master CapEx Tracker
  • Assists with acquisitions and management transitions as needed
  • Coordinates and assists in conducting annual maintenance inspections of assigned portfolio
  • Serves as emergency point of contact in instances where the Service Manager is not available
  • Coordinates adequate maintenance coverage in the event of long-term absence or open position for assigned portfolio
KNOWLEDGE AND SKILLS REQUIREMENTS
  • High school diploma, GED, or related experience and/or training
  • Preferred five (5) or more years of work experience in Service within Multifamily, with at least three (3) years of experience supervising teams
  • In-depth knowledge and experience in drywall, electrical, carpentry, flooring, plumbing, painting, appliances, and lock changes required
  • Experience in Capital Improvements projects and remodeling is required
  • Demonstrated ability to apply principles of logical thinking to define and correct problems
  • Must possess demonstrated effective written and verbal communication skills
  • Proficiency in customer service and interpersonal communication skills to effectively interact with residents, vendors, team members, and other business contacts; respond promptly and courteously to questions and requests; and stay calm when addressing and resolving customer problems
  • Demonstrated proficiency in general computer skills and database management programs to maintain records of information and develop and provide information for manager’s use, including but not limited to Microsoft Office Suite, Outlook, Teams, Word, and Excel; proficiency with or the ability to quickly learn Yardi, SightPlan, Paycom, and DocuSign
  • Demonstrated mathematical skills necessary to add, subtract, multiply, and divide numbers, decimals, and fractions in order to review and complete various financial, administrative, and legal documents
  • Innovative approach to problem solving, troubleshooting, and the ability to devise creative solutions
  • Excellent time management skills with the ability to work well under pressure and meet deadlines; ability to effectively manage multiple projects simultaneously and prioritize tasks and delegate when appropriate
CERTIFICATION REQUIREMENTS
  • HVAC Type 1 and Type 2 certifications required
  • Universal certification preferred
WORK HOURS

Will normally work a Monday–Friday schedule with rotating on‑call weekends for the assigned home community; hours may vary to meet the business needs of the property. Ability to work varying hours and promptly respond to emergency situations if needed.

WORK LOCATION & ALLOCATION OF RESPONSIBILITIES

Work location on‑site at home community as well as regular visits to the assigned region. Team members work in an office environment but also may have frequent exposure to outside elements where temperature, weather, odors, and/or landscape may be unpleasant and/or hazardous. Approximately 70% of time allocation will be spent at the assigned home community performing regularly scheduled Service Manager (SM) responsibilities. Up to 30% of time allocation may be spent servicing training, CapEx, and/or Renovation projects within the assigned region for District Service Manager responsibilities. Travel requirements may be up to 30% of overall time allocation to the District Service Manager role.
