Ministry Function
The Distribution Assistant supports the ministry of Convoy of Hope by providing operational, reporting, and administrative support to the Distribution and Fulfillment teams. This position helps ensure accurate management of CHEP pallet transactions, develops operational reporting to support leadership decision‑making, and assists with fulfillment, compliance, and special projects that contribute to the efficient movement of gifts‑in‑kind (GIK) and other ministry resources.
Essential Duties and Responsibilities
- Manages CHEP pallet administration by auditing daily outbound pallet transactions, processing transfers through the CHEP portal, and maintaining accurate records to minimize organizational costs.
- Researches operational data and develops reports and dashboards that provide visibility into Distribution Center and Fulfillment activities to support informed decision‑making.
- Assists with fulfillment operations and administrative activities that support daily warehouse and distribution functions.
- Supports compliance initiatives by assisting with documentation, tracking, and administrative tasks related to OSHA, FDA, USDA, and other applicable regulatory requirements.
- Provides project coordination and administrative support for team initiatives, adapting priorities as operational needs evolve.
- Fulfills all other duties as assigned.
Qualifications
- One year experience in an administrative, logistics, operations, supply chain, or related field is preferred.
- Education: A bachelor’s degree in a related field is preferred; a high school diploma or equivalent is required.
- Ability to accurately manage data, reconcile transactions, and maintain detailed records with a high degree of accuracy.
- Strong analytical and problem‑solving skills with the ability to identify discrepancies, research issues, and recommend solutions.
- Excellent organizational and time‑management skills, with the ability to prioritize multiple assignments and consistently meet deadlines.
- Strong written and verbal communication skills and the ability to build positive working relationships across departments.
- Ability to exercise sound judgment, maintain confidentiality, and work independently while contributing effectively as a member of a collaborative team.
- Proficient with Mac or PC, Google Workspace, Microsoft Office, and ability to quickly learn other COH systems as needed.
