Job summary

Traffic Management LLC is seeking a Dispatcher to coordinate personnel, vehicles, and service activities on a 4/10 shift (Friday to Monday, 6:00 AM – 5:00 PM).

You will prioritize requests, assign resources, monitor routes, and maintain documentation while ensuring safety, DOT/OSHA compliance, and high customer service standards.

Strong multitasking, clear communication, and experience with dispatch software are required.

Qualifications

  • High school diploma or GED required.
  • 2+ years in dispatcher, logistics, operations, or call center.
  • Strong verbal and written communication skills.
  • Proficiency with dispatch software and Microsoft Office.

Responsibilities

  • Receive, review, and prioritize service requests and orders.
  • Allocate traffic controllers based on availability and urgency.
  • Monitor progress, adjust routes, and communicate ETA updates.
  • Document all activities and ensure compliance with safety regulations.
  • Escalate safety concerns to management as needed.

Job DescriptionFLSA: Non-ExemptPosition Title: DispatcherReports to: Dispatch SupervisorSupervisory Responsibilities: No***Shift is 4/10's Friday to Monday from 6AM - 5PM***Job SummaryThe Dispatcher serves as the operational control point for coordinating personnel, vehicles, equipment, and service activities. This role ensures efficient resource deployment, real‑time communication, and rapid issue resolution while maintaining compliance with safety, regulatory, and customer service standards. Dispatchers must balance multiple competing priorities in a fast‑paced, high‑pressure environment.Operational CoordinationReceive, review, and prioritize incoming service requests, delivery orders, or emergency callsAssign traffic controllers based on availability, skill level, location, and job urgencyDevelop and maintain daily, weekly, and shift‑based dispatch schedulesMonitor active jobs to ensure adherence to timelines, routes, and service-level agreements (SLAs)Reassign or reroute resources in response to traffic, weather, equipment failure, staffing shortages, or emergenciesCommunication & Liaison DutiesAct as the primary communication hub between field staff, supervisors, vendors, and customersMaintain constant contact via phone, messaging platforms, and dispatch softwareProvide clear instructions, updates, and safety guidance to employees in the fieldCommunicate service delays, ETA adjustments, or emergency notifications to customers and stakeholdersEscalate operational or safety concerns to management as necessaryMonitoring & TrackingTrack vehicles, personnel, and assets using GPS and dispatch management systemsMonitor real‑time operational data (location, progress, duration, downtime)Confirm check‑ins, job completions, and shift changesIdentify inefficiencies, bottlenecks, or potential service disruptionsDocumentation & ReportingAccurately document all dispatch activities, communications, and incidentsMaintain logs, call records, run sheets, incident reports, and service confirmationsEnsure all dispatch records meet legal, regulatory, and audit requirementsPrepare operational reports related to response times, productivity, and service outcomesSupport billing, payroll, and compliance processes through precise data entrySafety & ComplianceEnforce company safety protocols and operational proceduresMonitor compliance with DOT, OSHA, and other applicable regulations (when applicable)Respond to accidents, incidents, or emergencies following established escalation proceduresCoordinate emergency response and support services when neededCustomer ServiceProvide professional, calm, and courteous interaction with customers alwaysAddress customer inquiries, complaints, and service concernsProvide accurate status updates and realistic expectationsDe‑escalate high‑stress or emotionally charged situations with professionalismRequired QualificationsHigh school diploma or GED (required)2+ years of dispatcher, logistics, operations, or call‑center experience (preferred)Demonstrated ability to multitask and prioritize in a fast‑paced environmentStrong verbal and written communication skillsProficiency with computers, dispatch software, and Microsoft Office or similar toolsPreferred QualificationsDispatcher certification (e.g., emergency, transportation, or industry‑specific)Knowledge of local geography, traffic patterns, and service zonesExperience with GPS tracking systems and fleet management softwareBilingual communication skills (industry/location dependent)Tools & TechnologyDispatch management systemsGPS and fleet‑tracking platformsSpreadsheets, email, and reporting softwareEquipment Operated:Computer (Keyboard, mouse)PhoneOffice equipment (printer, copy machine, etc.)Physical Requirements & Work EnvironmentRequires sitting for prolonged periods of timeRequires using hands to handle, control or lift objectsRequires lifting up 40lbRequires repetitive motion of handsThis job description is not intended to be all-inclusive, and employees will also perform other duties as assigned by management as required.Traffic Management LLC (TML) reserves the right to revise or change job duties and responsibilities as the need arises.
