Job summary

Yellowstone Local is seeking a Dispatch Coordinator for Elm Air Conditioning, LLC. The role focuses on coordinating daily HVAC dispatching, technician scheduling, and route optimization across Long Island.

You will work to assign calls, monitor progress, and communicate with customers to ensure smooth service operations. You will use ServiceTitan or similar software, manage records, and promote service memberships.

Qualifications

• 1 year minimum experience in dispatching, scheduling, or customer service
• Experience in HVAC dispatching or home services preferred
• Strong data entry and CRM skills
• Ability to promote service agreements and memberships

Responsibilities

• Coordinate daily HVAC service dispatching, technician scheduling, and route optimization for Long Island service area
• Assign service calls based on availability, location, and priority
• Monitor progress and adjust schedules for emergencies or delays
• Use ServiceTitan or similar software to manage appointments and customer information
• Answer inbound calls and schedule appointments with accurate pricing information
• Communicate confirmations and updates to customers
• Maintain customer records, invoicing data, and dispatch logs

Your New Role

• Coordinate daily HVAC service dispatching, technician scheduling, and route optimization throughout the Long Island service area.

• Assign service calls to HVAC technicians based on availability, location, job priority, and scheduling requirements.

• Monitor technician progress throughout the day and adjust dispatch schedules to accommodate emergencies, delays, and changing customer needs.

• Use ServiceTitan or similar HVAC dispatch software to manage service appointments, technician assignments, and customer information.

• Answer inbound customer calls, schedule HVAC service appointments, and provide accurate information about services and pricing.

• Communicate appointment confirmations, technician arrival updates, and scheduling changes to customers.

• Maintain accurate customer records, service documentation, invoicing information, and dispatch logs.

• Promote HVAC maintenance agreements, service memberships, and available upgrades to customers, with opportunities to earn commissions.

• Coordinate preventive maintenance appointments, seasonal HVAC tune-ups, and recurring service visits.

• Follow up with customers regarding service completion, satisfaction, and membership renewals.

• Support field technicians with scheduling information, customer details, mobile applications, and operational systems.

• Work closely with management to identify dispatching inefficiencies and improve daily workflows.

• Maintain operational standards while ensuring a smooth, organized, and customer-focused service experience.

• Help create a reliable connection between customers and technicians so service calls are handled efficiently and professionally.

• Minimum of 1 year of experience in dispatching, scheduling, customer service, or a related position

• Experience in HVAC dispatching, plumbing, electrical, or other home service industries preferred

• Familiarity with ServiceTitan, HVAC scheduling software, dispatch management systems, or similar platforms preferred

• Strong organizational and time management skills with the ability to coordinate multiple technicians and service appointments

• Excellent verbal and written communication skills for interacting with customers, field technicians, and management

• Ability to prioritize urgent service requests, adjust schedules, and solve problems in a fast-paced environment

• Strong attention to detail with accurate data entry, invoicing, and customer recordkeeping skills

• Comfortable using computers, scheduling applications, customer relationship management (CRM) systems, and mobile technology

• Customer service experience with the ability to handle inbound calls, address concerns, and communicate professionally

• Ability to promote service agreements, maintenance memberships, and additional services to customers

• High school diploma or equivalent required; associate degree or additional education preferred

• Knowledge of HVAC systems, heating and cooling services, solar technology, or clean energy solutions is a plus.

• Valid driver's license

• Authorization to work in the United States

• Ability to work onsite
