Job summary

Arrowfly, LLC is seeking an experienced Director, Sponsor Relations to join our Events team. This player-coach role manages a sponsor/exhibitor book, while personally executing critical deliverables and guiding a small team.

The role oversees sponsorship fulfillment, pre/post-event communications, and on-site coordination with sales, marketing, and operations. Remote work with frequent travel supports our live events strategy.

Qualifications

• Bachelor's degree in hospitality, communication, or related field.
• 5+ years of events experience in a client- or sponsor-facing role.
• 2+ years supervising or leading others.
• Experience with General Services Contractors.
• Experience with Cvent or other event management software, and with floor plan software.
• High proficiency with Microsoft Office, especially Excel.
• Ability to manage multiple concurrent projects and meet deadlines.
• Excellent customer service and verbal/written communication.
• Superior attention to detail and process creation.

Responsibilities

• Supervise the Sponsor Relations team day to day: assign accounts and priorities, weekly check-ins.
• Train on processes, tools, sponsor communication; review deliverables for accuracy.
• Serve as first escalation point for sponsor issues; step in when needed.
• Coordinate on-site coverage with event coordinators.
• Primary contact for sponsors from contract signature through post-event wrap.
• Conduct pre-event kickoff calls; confirm deliverables and deadlines.
• Track contracted deliverables and coordinate fulfillment with marketing/ops.
• Onboard sponsor teams to exhibitor portals, lead retrieval, apps, tools.
• Maintain master sponsorship planner; ensure updates are current.
• Build sponsorship toolkits in the Cvent exhibitor portal.
• Manage exhibit floor plans and booth assignments.
• Own sponsor/exhibitor communication plan and templates.
• Document processes and propose improvements after each event.
• Prepare weekly reporting on sponsorship pacing and issues.
• Track inventory per event and flag slow-moving assets.
• Execute on-site rebooking and pass renewals to sales.
• Lead sponsor check-ins on-site and resolve real-time issues.
• Frequent travel as required for events.
