Qualifications

  • Bachelor's Degree in Business Administration or related field is required.
  • Four years of experience in a purchasing department or related area is required.
  • Preferred: Master's Degree in Business Administration or related field.
  • Preferred: Certified Purchasing Manager (CPM).

  • Oversee Records Management Program including storage facilities and retention schedules.
  • Hire, train, evaluate, and develop team members; ensure timely reports and evaluations.

This is an exciting time to work for Amarillo College! We are seeking our next Director of Purchasing & Records who will be all-in on our mission and who will direct activities of the Purchasing Office in such a way as to obtain supplies and equipment at a price consistent with quality and service that further the goals and work of Amarillo College. Maintain and follow the Records Retention Policy of the College to ensure proper physical storage of records according to governing body requirements.

EDUCATION

Required: Bachelor's Degree in Business Administration or related field.

Preferred: Master's Degree in Business Administration or related field.

EXPERIENCE

Required: Four (4) years of experience in a purchasing department or related area.

Preferred: Six (6) years of experience in a purchasing department at an institution of higher education.

*Five (5) years of related experience can be substituted in lieu of education requirement

CERTIFICATIONS/LICENSES

Preferred: Certified Purchasing Manager (CPM).

  • Develop policies and procedures for obtaining supplies, equipment, and services; locates sources of supply; and, receive sales representatives and evaluate products and services for College use.
  • Issue and administer purchase orders.
  • Develop bid specifications and issue formal bid/proposal invitations. Obtain informal bid quotations.
  • Manage the College’s credit card program that entails issuing staff cards, monitoring purchases, training staff on credit card website, reconciling, and paying monthly credit card statements.
  • Tabulate and summarize bid information for the President and Vice President of Business Affairs.
  • Prepare budget information.
  • Supervise Central Receiving.
  • Develop and implement necessary procedures to maintain the Records Management Program for Amarillo College.
  • Evaluate, make recommendations, and maintain physical storage facilities for the Records Management Program.
  • Evaluate record inventories for the College and determine the retention schedule foreach inventoried record.
  • Oversee the daily operations, as well as the hiring, training, evaluation, and development of team members.
  • Complete various reports, documentation, and evaluations in a timely fashion.
  • Perform other duties as assigned.

  • Ability to provide an exemplary level of customer service to all internal and external customers, departmental personnel, students, vendors, community, committees, management, etc.
  • Ability to maintain professionalism in demeanor, work-style and dress.
  • Demonstrate a strong work ethic with the ability to exercise good judgment.
  • Ability to make solid recommendations, have strong attention to detail, good organizational skills, and ability to work under pressure to meet stringent deadlines. Must be able to work independently and as a team member.

Salary

Amarillo College follows a lag pay strategy, with starting offers typically between the minimum and midpoint of the pay grade, rarely reaching the maximum to support long‑term growth within each position.

Pay grade 14 Amarillo College Pay Grades (salary is determined by Human Resources based on education, work experience and internal comparisons).

Physical Demands

While performing the duties of this job, the employee is frequently required to travel between offices, buildings, campuses, and other various locations in the performance of assigned duties. Requires the ability to lift, carry,push, pull and/or maneuver office supplies and presentation materials asneeded.

Working Conditions

Must be willing to work a flexible schedule (days, nights, weekends, holidays, and varying events if necessary.)

Work Environment

This position operates in a professional office environment, routinely uses standard office equipment (i.e. computers, phones, copy and fax machines, filing cabinets) and is in a high traffic area with continual interruptions. Software commonly used includes Microsoft Office, Colleague, and various other educational applications. Work may also be performed outside of the office and with little to no supervision.
